Hi All

At present our users all have pieces of paper and sticky notes on their monitors
with things such as phone numbers for all internal staff, shortcut keys for
foreign characters, shortcut keys for their phones etc.

I am wanting to try and digitalise this.

I have thought of created an internal webpage with all the info on, which would
work, but I was wondering if anyone knew of any software where I could create
network wide 'sticky notes' with all the information on.

Obviously we could use something like sharepoint, but we dont have it.

Thanks.

However in my experience users will put sticky notes on the screen anyways.

You don't need SharePoint, way too complex to bother with for this.

What you could do is a simple webpage that's hosted on an internal server,
but that may not keep track of everything they need, especially if they put
up personal notes.

If they are windows 7, then they can use the sticky notes feature, which
would be the same thing only in digital form on their desktop. There are
also a ton of widgets and tools out there for notes, only they seem a little
small for what it sounds like you want to do. Or they can use the notes
feature in outlook if you use that for email.

You could also have them use Contacts in Outlook to store other people's
information, make sure your company address book has everyone's full
information in it, name, number, division, and even cube or office location.

Another option would be non-digital, make up a 8.5x11 sheet and have it
laminated with everything on it, it would be much quicker for someone to use
instead of having to click and find the answer they need online. Although,
depending on your turn over rate, that may not be effective.

Not everything is better when digital.

Why? What's the gain? Are these notes impacting your office supply
budget or hurting productivity?

Sound like "it ain't broke"

We've just spent a fortune doing the offices with new desks, pcs, glass etc and
they are ruined by messy pieces of paper stuck to the monitors.

Microsoft Office One Note that comes with the Office Suite is pretty good.

Also, there are just the Notes in Outlook that can be used.

We have a cheat sheet spreadsheet with phone numbers, some misc notes
etc, carefully formatted to fit on one page. It's available on the
network (and in the email address book) but many people prefer to print
& post at their desk. A laminated version is posted in the factory next
to phones there.

We use Sharepoint for many, many things, but it will be a cold day before I
remove the yellow sticky on my monitor that reminds me to turn around, look out
my office window, and make sure I turned off my car's headlights!

To the original question, if you're on Vista or Windows 7, you can put a Post It
notes gadget on the Sidebar.

I use mine to put up next available UD menu IDs, and in past I had the Epicor
Support telephone number on it. Sadly, I know that number by heart now, and
don't need it.

For sharing, you can make a simple HTML web page, host on server (you don't need
anything special to do it, just put the html file) and on that page, put the
common pieces of information that people want and need. then have people make it
their home page.

are you in the public eye? shareholders eye?

by all means challenge your workforce as to whether they are doing things the best way - but you may want to be careful you don't damage the productivity of your team.

most people would use tidier tools if they felt they were truly better.

perhaps just see if you can 'help' some of your worst offenders.

I do have some time for the tidy desk = tidy mind philosophy - but am not a fan of legislating for the sake of tidiness - for what it's worth.

Clean-desk-Friday might be useful? Personally I struggle to keep on top of my desk. It helps that it's small - but doesn't help that I have two computers + other things.

K.
