Hi guys, I have a quick question on Purchasing setup and User Rights.
I want our purchasers to still be able to edit due dates of each other’s/pricing in case someone is out of office, so accounting does not have to wait. My main concern is who can approve POs over a limit. Currently the Purchasers can go into PO approval and selected their supervisors name and approve their own PO. Which settings in Buyer Maintenance/User account security/Employee setup do I have to configured in order to achieve this?
From my research, it sounded like I needed to just remove them from each other’s “Authorized Users” list. But this was not the case, and they were then unable to edit due dates,etc.
Correct, currently I have on there the supervisor listed as the only Authorized User on each of the Buyer’s accounts.
However, doesn’t that mean now that the regular buyers won’t be able to edit each other’s POs? I mainly want to restrict them from being able to select the supervisors name and authorize a purchase themselves without it being sent to the supervisor for approval.
That’s what the audit log is for if it ever comes up. Generally, purchasers have to have be authorized for others so they can handle things that come up. If they decide to approve their own against policy it’s logged and a manger can have that discussion with them.
They can be approved users of each other… but, as long as they’re not approved users of the supervisor, they shouldn’t be able to approve in his/her name. At least that’s my understanding.
So, if Buyers A and B are regular Buyers… and Buyer C is the supervisor…
I would give A & B rights (authorized buyer privileges) under each other, but NOT under Buyer C.
I see your point, though… that if Buyer C (the supervisor) has POs out there that need edited, Buyers A & B won’t be able to make changes. But that’s just the nature of the beast, unfortunately.
Perhaps this could be an “idea” (gulp)… to split Authorized Users into two buckets… buyer privileges vs approval privileges. But as far I as know, they’re currently lumped together.
Yes, we have limits set for each buyer. If they go over the limit, we would like for it to be sent to the supervisor for approval. This is where it has become a problem, the regular buyers have been able to click the supervisors name and approve their own POs.
