Quote Entry No Customer Number

It was the best way for my guys to "see" who were customers and who were
prospects.

Because what they look at are the search screens filtered on all. Trust
me, I've been down this road too many times to explain it over and over
again.

Hi Manasa; Out of curiosity, if you have CRM and can use the suspect,
prospect & customer status to track which company records are actual
customers (have placed orders) vs. prospects (requested a quote) vs.
suspect (neither placed an order nor an RFQ), what business purpose does
it serve to assign an alpha ID and then change it to a numberic ID when
they place an order?

We need to make a quote for a potential customer, there is no guarantee that they will become a customer. Vista will not let you make a quote unless you have a customer number, so that means you have to set up a customer number for a company with all the info for that company. In classic all you had to do was skip the customer number and type in the company name, address, contact to make a potential quote. If they accepted you quote then you went an made them into a customer. We would like to know what everyone is doing for this situation.

If you have CRM, what we do is enter the customer with an ALPHA ID.
This makes the "Customer" an actual "SUSPECT" in the system. When we
create the Quote, the system makes the "SUSPECT" a "PROSPECT" (but we
leave the ID as an ALPHA id).

If the "PROSPECT" gives us a PO, then we create an order from the quote,
which makes the "PROPECT" to an actual "CUSTOMER" in the system. At
this point we change the ALPHA id into a numeric id. Of course in the
middle of all of this we are checking out their references. But we
won't change the ID to numeric until they actually provide a real PO.

Remember, the idea of the suspect, prospect, and customer designations
only come about if you own CRM.

Hope this helps.

We setup a customer for new prospects and and put the company info into the onetime ship to (needs E9) so the company's name shows on the printed quote
