Track Lots

Hi everyone,

I’m having a very strange case with Epicor.
We tried to put this part into the Job from the Issue Material, but we couldn’t process it because the quantity was negative. However, we have plenty of stock of this part. But we noticed something strange. Onhands had lots, but Track Lots for this part was not checked in Part Maintenance. So I looked at the Part transaction history and it turns out that this Part was created with a Lot a long time ago and then changed to not require a Lot.
Anyway, I figured that if I wanted to exhaust this part with Lots, I would have to set up Track Lots again, so I tried to set that up. But, as you can see below, the setting was not made because there is a quantity being inspected. However, this part was not open anywhere in Inspection Processing, DMR Processing, and Nonconformance.
How do I handle this setup?
Or is there another way to handle parts with this LOT?

I do not believe that you need to turn Track Lots back on. When you turn off Track Lots, the existing parts still keep that lot number that was assigned to them. You do not need to select a lot to do transactions, it is just another field that exists on the record.

You can’t toggle track lots if you have existing QOH. You have to adjust out/adjust back in with the new setting.

@pilio.lee is indicating that they have a part in inventory with quantity on hand associated with a lot number, but the part itself is not set to track lots, which should be impossible…right?

No, I believe when you turn off lots/serial numbers, the system still retains the assigned lot/serial number. I’m not sure about the current version, but I believe in the past you were able to turn off Lot Tracking with QOH.

Same thing in 8. I know that there is a way that you can still have parts in stock with lot/serial numbers, but can’t’ remember how it happens. It might be a DMT thing.

So, @hackaphreaka is correct. @pilio.lee you will need to adjust them out to turn on tracking again.

I think the pickle @pilio.lee is in is they can’t adjust the quantity out. The lot fields are only lit up on a transaction screen if lot tracking is turned on. Can’t turn track lots on because he has quantity with lots attached.

What you said is correct. We have onhands with lots and onhands without lots in this part, and the onhands with lots cannot be adjusted as you can see in the screenshot below.

I’m not exactly sure why this is happening, but I need to somehow get rid of my onhand with this lot. Is there any other way?

I also thought it was impossible. Looking at the part trans history, it looks like track lots were probably turned on at first. My guess is that at some point someone turned off the tracks and at that time he didn’t adjust the onhand with the lot. That’s exactly the amount. (1,500ea)

I believe Support has a fix for this. I would open a ticket, explain the situation, and ask if they have a data fix.

Agree with @jkane that you are in the datafix zone. Is it worth trying to run Refresh PartBin QOH and Refresh Part Quantities processes on this part?

I don’t think so. It would not hurt to try, but the only way I have ever seen anyone get rid of parts with lot/serial numbers is through a data fix.

See if you can initiate a cycle count for that part only and then count it as zero.
