So, we are trying to turn on serial no tracking in our main site, but having issues. When epicor was first implemented, they had serial tracking, but then decided to turn it off. So, the system has about 1000 serial no’s still in there. So, when i turn on serial tracking, i get an error that says i have serial tracked parts with qty on hand.
I ran a DMT based on serial tracker of all the parts that had serial numbers to zero them out, but I am getting the same error message when i try to turn it on. Is there a way to delete serial numbers entirely? Since we don’t have serial tracking turned on, it won’t allow me to get into serial number maintenance, which i imagine would be the place to delete them entirely.
I have some experience with serial tracking and have always understood it to be a part by part requirement and not a site requirement.
I’d expect that your old serial tracked parts aren’t an issue so long as they are staying non serial tracked. My expectation would be that you have quantities on hand of the new part(s) that you are trying to serial track and that would cause an error.
In my experience you need to adjust out any quantity on hand, make the serial number required change on the part master, and then adjust in your inventory back into the system with the appropriate serial numbers.
THanks for your reply. I looked at the parts that had serial numbers and then did a quantity adjustment to -2 or -3 etc. to zero the parts our completely that had any serial number tied to them. Possibly i missed one?
Thanks for your reply. I did not think about the serial tracking under part master. So, If i understand correclty, I would need to zero out all the parts that are not serial tracked in order to add them back in with serial numbers? I definitely need to experiment with serial tracking on the part maintenance, maybe that will do it.
Maybe it will help if I explain how (I understand) Epicor works with serial numbers. Once you enable serial numbers Epicor will ask for a serial number for transactions and will validate that serial number against the serial numbers it is keeping track of in that state.
So if you have stock of a part and want to serial track that part you need to remove the stock, then enable serial numbers on the part, and then add the stock back in with the serial numbers. This process allows for Epicor to validate the serial numbers of the ‘current’ stock when that part is used.

thank you. So, i took a part with no serial numbers and quantity adjusted to zero. Then, i went into part maintenance and enabled serial tracking. I went back to qty adjustment and adjusted it, and expected the serial number button at the bottom to be enabled, but it is still grayed out. Any ideas?
Each Part needs to have the Track Serial enabled and the S/N Format defined. You can only do this while there is 0 Quantity on Hand.
Be aware that if your UOM allows decimal quantities that you can end up with a really small quantity that rounds to 0 but isn’t. A BAQ on PartBin should tell you if this is happening. Also the 0.00 will likely say 0.00* where the asterisk indicates there are more decimals than displayed.
You’ll also need to select an option for Serial Tracking Option in Site Configuration other than No Serial Tracking.
thank you. Would the process to turn on serial tracking at the site level be:
identify current serial no’s in system (we previously had serial tracking on, so theres a few parts that have serial no’s, but most do not)
qty adjust those parts to zero
turn on serial tracking at site level
qty adjust those parts back to original qty, of which now serial no button should be enabled to assign serial no’s while doing the quantity adjust
or… since we are trying to add serial no’s to everything, should I qty adjust all parts to zero, turn on serial tracking at site level, and then add serial no’s as I quantity adjust all parts back to their original quantity?
Your old serial number should not cause you a problem other than not being able to use those same serial numbers again.
Any part that you want to change the status of the Track Serials checkbox on has to have 0 quantity on hand. It doesn’t matter if you’re turning it on or off. Either way, the quantity on hand has to be 0.
So, if you want to track serials on everything, you would need to adjust ALL inventory to 0. Enable Track Serials and define Serial Mask. Enable Serial Tracking on the Site Configuration. Adjust all inventory back in with serial number information.
Tracking Serial Numbers is a big commitment. I shudder when you say you want to track serials on ALL parts. If you need it, you need it. I would hesitate to turn serial tracking on for any parts that don’t absolutely need it.
Well, its not actually all parts, we don’t serialize consumables. But, we rent our tools /components and have to track their usage time in the field, so it’s going to be 10,000+ serial numbers.
I will try to quantity adjust all our non-consumables/serial tracked parts to zero and see if i can turn on serial tracking at the site level.
I would advise doing a single part manually first (in a test environment) so that you get all your required steps define. Once you have that worked out, you can automate it and do it en masse, and then finally in your production environment.
