5.x and W2 forms

I just talked to the lady in payroll and she said we don't print W2 forms
until final payroll, month end closing, and year end closing. Then, like
you guys said, there are always things like company vehicles, etc. and the
few errors found on forms. We've always had problems printing W2 forms from
Vantage, so why should this year be any different. The disturbing part is
that it takes almost until the end of January to get all of this done and we
run up to the wire in getting W2s out. That may make it difficult to do
this how we want to. What I was told is putting the data into another
problem is not an option unless I personally want to do it. Hmmmm....nope.

start testing on 5.1 in a matter of days and will have a new server in place
by the first of the year.

As long as the 5.1 data is current, there shouldn't really be any problems.

The thought I have regarding this is that if you go through the effort of
converting all the data and verifying that it is correct you might as well
go live on version 5.1. Besides, you'll have to wait for all the data to be
entered well after the first of the month to run W2s, which should give you
enough time to get the system tested. The problem with having two copies of
the same data is that someone might end up needing to adjust their info and
reprint the W2 which can get ugly.

I'm a systems person and not an accountant, which is why I am asking. I'm
just curious what additional data needs entered after the first of the month
and what would need adjusted? Seems to me that after the final payroll of
the year is completed, all the YTD totals should be set.

Keep in mind that we are jumping three versions of Vantage plus adding a new
server. To convert a 1.3gb database from 3 to 4 to 5 to 5.1, change all
custom Crystal forms and report builder reports, plus install the client on
80 machines in a matter of a few days is a big job. The method behind the
madness is once the new server is in place we would like to move testing to
it so we can then at our leisure change the report builder reports and
install clients plus address any further issues before going live. Then
when we do go live it is only a matter of the database conversions.

I guess it all depend on how extensive your customizations are. Crystal
forms will have to be generated from scratch and so can be created
beforehand. Report Builder reports are usually too numerous to convert all
at once anyways and so probably should only be converted on as needed basis.
My experience is that a lot of the Report Builder reports that are written
are not being used. I would probably discuss this with your accounting
people some more, but my experience is that someone is bound to have their
hours adjusted or find something that is not right on their W2 form (like
address, deductions, etc) or just plain lose their W2 and need a new one
printed sometime later. I am not talking about a lot of problems, but if you
have to go back and change all the data even for a couple employees it can
be ugly, or just plain needs to be double-checked. I am not an accountant
either, but the IT department of one of my past employers ran into the same
problem with their Oracle forms and after throwing all kinds of effort into
it they finally printed the problematic W2s using a typewriter. (This is a
6000 employee company and it was couple hundred forms) Now having said all
that I said, I probably personally would do what you are planning on doing
anyways, but I would make it crystal clear to the financial guys the
consequences of any changes.

Ideally, it all should be entered. But sometimes things like personal
use of a company car needs to be added to the W-2,or 3rd party sick pay,
things that don't come from the system's payroll and if the person
gathering the information is busy or just pokey it can run over into
January.
