[6.1] Copying Chart of Accounts to a New Company

Forgot to tell you that if you choose to do consolidations then the parent
will have to have each account that the children have, so as long as your
new company isn't the parent, or you aren't consolidating, you are good to
go.

It is much easier to copy the accounts in 8.0, so if you should have an
acquisition/merger on the horizon, I would consider going to 8.0 before
then!

Thanks. When they found there was no copy the CFO and the accountant decided
they would add only the accounts they need, as they need them. It is a
startup company so things will build slowly and many accounts from the
stamping business won't apply anyway. I did tell her about setting up the
dept and div parts in advance and then doing mass add as she adds accounts
so they apply to all the div/dept combos.

At least we have a heads up to the situation if/when we ever have an
acquisition/merger situation and should need to integrate an existing
company into our accounts.

I am a controller and I was amazed that 6.1 did not copy the chart of
accounts, but as Mike pointed out, this is a manufacturing software and not
a financial one.

Anyway, 8.0 does copy the accounts quite nicely, but the only way that I
have been able to copy them in 6.1 is through the back door.....Access
Database, which Epicor will not recommend. This works well for the most
part, but it is not a guarantee that it works. I would make a good backup
first and then spend a evening or weekend copying the chart over and
checking it. You need the check to see if the Account Structure is set up
the same for both companies. That can be found in the System
Management/Configuration Maintenance/Company Maintenance/Module
Configurations/All Modules/Account Specifications. If that matches (and I
assume that it does), I would recommend keying in the division and
departments by hand if there aren't too many. Then use the Access Database
to pull over the Chart first. Once you do that, I would recommend that you
go into the charts that were set up and look at a few of them to make sure
that you don't get any errors. Once you have done that, then proceed with
the accounts in the same fashion. This is a little risky, but for me it was
worth the risk.

I would ask her what "every other software package she ever worked with"
was. My guess is that it was a dedicated finance package or a system a
little further up the food chain than Vantage. If this is true of the
first, politely tell her of all the benefits of a totally integrated
system. If it's the second, you can mention that if they can budget for
a significant re-investment in ERP software then you can get her a
system that will do what she's been used to.

In version 8.0, you can import the chart information using the Grid
"Paste Insert" from Excel.

This work nicely, uses all of the Vantage business rules and is
supported by Epicor.

We have setup a new company in our database for a new subsidiary. Our
accountant went top make journal entries and there are no accounts since
nobody knew to set them up. Is there any way to copy the chart of
accounts form our main company and populate it for the new company? Any
Export/Import utility or such?

She is relatively new here and every time something can't be done in
Vantage her standard reply is; "Every other software I've worked with
could do that." She's going to love entering several hundred accounts if
there is no copy capability.

In version 8.0, you can import the chart information using the Grid
"Paste Insert" from Excel.

This work nicely, uses all of the Vantage business rules and is
supported by Epicor.

Todd,

I am a controller and I was amazed that 6.1 did not copy the chart of
accounts, but as Mike pointed out, this is a manufacturing software and
not
a financial one.

Anyway, 8.0 does copy the accounts quite nicely, but the only way that I
have been able to copy them in 6.1 is through the back door.....Access
Database, which Epicor will not recommend. This works well for the most
part, but it is not a guarantee that it works. I would make a good
backup
first and then spend a evening or weekend copying the chart over and
checking it. You need the check to see if the Account Structure is set
up
the same for both companies. That can be found in the System
Management/Configuration Maintenance/Company Maintenance/Module
Configurations/All Modules/Account Specifications. If that matches (and
I
assume that it does), I would recommend keying in the division and
departments by hand if there aren't too many. Then use the Access
Database
to pull over the Chart first. Once you do that, I would recommend that
you
go into the charts that were set up and look at a few of them to make
sure
that you don't get any errors. Once you have done that, then proceed
with
the accounts in the same fashion. This is a little risky, but for me it
was
worth the risk.

Just remind her not to shoot the messanger!

I would ask her what "every other software package she ever worked with"
was. My guess is that it was a dedicated finance package or a system a
little further up the food chain than Vantage. If this is true of the
first, politely tell her of all the benefits of a totally integrated
system. If it's the second, you can mention that if they can budget for
a significant re-investment in ERP software then you can get her a
system that will do what she's been used to.
