[6.1] Customer Required Specs on POs to Our Vendors

If the verbage is the same for all PN's of a customer you wouldn't
want to maintain it on a PN by PN basis anyway. Bite the bullet and
jump into ODBC. I'm using it a ton and haven't had issues since
moving to the SQL92 version.

We are increasingly seeing requirements from customers that we include on our POs to vendors (material or subcontract) various specification statements. Mostly for anything military related. These vary by customer with some required for every part for the customer. Our jobs are each exclusively for one customer but POs to vendors are linked only to the job and not the SO so customer is not available to test for. This leaves the inclusion of the specs in job notes up to manual process by falible humans.

Things like:
MIL-STD 1684
PA-2632 II(d)
PA-2632 III
MIL-I-45208 Rev A.AM.1

What we need is as automated a way as possible to get each specific customer's specs requirements (specification number alone is OK as long as we attach the verbage for it) on to the face of the PO. Is there any facility in Vantage to handle this? Or anyone out there who has faced the same need and found an acceptable solution? We could perhaps do it by on the part if necessary if that will work so that every PO related to that part gets the correct specs statements - or gets them into the job's memo that that prints on the PO. All with as little human intervention on each PO as possible. Oh, and I completely reject a monster formula field in the Crystal PO report that tests for each customer and adds text. The system users need to maintain this via Vantage not me via CR developer.

We're right in there with you. We had a third party create a "subtier
shipping request" form, but you still have to know what you are doing and
for whom. Let us know if you do get this automated.

It would be nice if vantage had the capability to add a specification
just like an ABOM Material item to the Partmaster, but with 0 qty per
usage so it didn't drive requirements in the system. You could maintain
revisions on the spec as well.

We have faced something similar recently, but I don't know if this is applicable to your situation.

We have a vender from which we purchase some critical parts. Every PO that goes to this customer must have verbiage on the PO stating to the effect "A singed certification of compliance must accompany each part stating the part meets the specifications required". We accomplished this by adding the statement in the "Comments" for the vendor in Vantage. We then made a very minor change to the POform in CR (adding the pub.vendor table thru ODBC) and then adding the "vendor.comment" field in the lower page header section of the POform. It is only displayed when there is something in the comments for the vendor. Works well for us.

They are the same for every part for that customer (part to customer is 99% one-for-one relation here as I expect it is for you too). Preferable would be to trigger block of specs on PO to our vendors for any job related to that customer - for all parts. But if there is a way to code the specs on the parts we can live with that as being easier to remember to do than job notes on each job (as we are doing now and often forgetting). I was really hoping there was some table somewhere that I have been missing that carrys at least part specs through to the PO or worst case I can grab with ODBC.

Another thought......maybe I will create DBFs with PO print preview and have a distributed report for each customer that has the specs bolted in as an .bmp image file the user can maintain with Windows-Paint. We only have 5-6 such customers. This would suffice until we eventually get to 8.0.

That would work too. The question would be.."to ODBC or to not ODBC". To date no users here have ODBC. Distributed reports though are common. But the writing is on the wall and ODBC will be everywhere soon enough to replace RB so I might go ahead and bite the bullet with this project.

Might work too but probably not here. A quick RB check shows our Part Descs now vary from 1 to 271 char in length. PartDesc is a X(1000) memo field so would choke CR and we can't trim it to 255 (withou changing the long ones now in use). As it is we have a number of descriptions over 150 characters which does not leave much to work with. If I could truncate the descriptions to 255 I would probably prefix the specs section with a "marker" string (like [S]) and search for that as a variable starting point but this opens a can or worms everywhere else needing to have the description chopped off where we don't want the specs to show (invoices, etc...).

Here's another Idea, determine a max size you use for your part description
(say 35 characters) The as Lydia suggested, put your specs in the extended
part description. Then created a calculated field using MID( string, 35,
255). This would pull out the next 220 characters of description into its
own field that you can place anywhere on your form.

Just a thought here -- what about the extended description of the part?
Are you already using that for something else? Seems like you could open
that description up on the PO (to 5 lines or whatever)and truncate it if
there is nothing in there.
