Hello everyone, I am trying to set up my cycle count program for Epicor 9. We recently installed it in January, and I am running into a few problems with having the system run cycle count reports. I am starting from scratch, so any help would be appreciated.

Do Vantage cycle counts support random part selection? In the tests
we have run parts are selected sequentially by part number.

Somehow the ABC codes create the random part selection but we haven't used them.

The ABC codes create the "selections"...when you set up the ABC codes, you
choose dollar values and the time frame you want to count. It took us a
couple of passes to get the dollar values that we actually wanted. I don't
recall that it is random: it selects all parts in a class (A, B, C, etc)
that are on-hand, and due to be counted. We set some items at 700 days.
You can also go in and manually change the codes, but when you Calculate
Codes, it will re-set them.

Once you get the codes sorted out, the rest of it is really slick. We count
our big-ticket items once a month, then less value less often. We have not
done a full physical inventory in at least 4 years! Our CPA auditors are
happy and we have less than 1% variance on audit. (I believe the
manufacturing industry standard is something around 10% -- it is a
shockingly high number).

We did a set of "cards" one year and had every shop employee fill it out to
show what jobs were "staged" at their area and what percent complete they
were. Then the accountant ran a Production Detail report for EVERY JOB
(Yep!) and we (four of us) compared what the shop employees said with the
PDR. What a nightmare, but we learned A LOT. AND it gave us a starting
point. We did this on a Friday and ran reports all night and the next day,
then we were able to look stuff over.

Our accountant (a new one) now looks at variances and tracks down problem
spots...it takes time and energy to get there...DATA COLLECTION is the key
to accurate WIP. It's really more like those puzzle keys: material costs
have to be accurate, material has to be issued to the job, time has to be
collected, parts in stock have to have accurate costs, the whole thing. We
are small enough to feel like we control this process (yikes-lean
manufacturing!), and we watchdog it.

But people ALWAYS find a way to mess you up.

Gosh, I didn't mean to write a book - about this anyhow.

Does anyone using cycle counts have written policies, procedures or
work instructions they would be willing to share? I would like to start
using cycle counts 1/1/06.
I would like to start using Vantage for cycle counting in January. Does
this replace the full physical at year end? Do you have any work
instructions or proceedures you could share? Do you count work in
process some other way? ABC codes are selected when you utilize the
auto select feature, will it pull parts from each code a-b-c-d? How do
you capture enough information to cover yourself for inventory (for
accountant/auditing)? Are there any other reports than by group or
price variance? What are the glitches?
