Issued or allocated Inventory

At the end of every year I always create a new company for the previous year
and move everything over. I change the company name to "Company Yr 2001".
Enter your company in place of "Company'. I keep two years available this
way. I only give myself and other managers as specified access to it. The
reason I do this, especially in the early years of using new software things
begin to change, such as, management decides to renumber the inventory.
This way I can look at things exactly like they were for either analysis or
detective work on what happened. When the two year old copy is read to come
off, you should archive it on durable media, such as a CD, tape degrades
over time. Also you may change hardware, CD's can be read by almost
everyone, you don't have to read them with the equipment they were created
with.

You could copy the data base just like a training copy. We do this at our
fiscal year end. At midnight when all transactions have been entered,
orders, labor adjustments, cycle counting adjustments, subcontractor
receipts entered, shipments made, etc... This is the FREEZE you are

about. Adjustments are carefully made to both data bases when needed. We

not do a physical inventory, count & tag, etc... However we do a procedure
where we have each supervisor put a orange square of paper in each tub/pan
of product which they have identified in their area with the priority
dispatch report. This all works if you make your daily labor entry
accurate
by double checking, spot checking & continually auditing. Benefits are:
you
can run reports at a later date, also use the inventory copy to do any
type
of analysis overhead rate, etc...

We are about to do our year end inventory and we have to determine what
parts have been alocated to a job. Is there a report that can be run from
vantage or does anyone have a custom report they could help me out with.

Also is there a way to FREEZE the inventory database at inventory time
then
do an "unfreeze" and have Vantage calculate the difference or adjust the
quantities. The trick is we want people to be able to keep working while
the data count is inputted.

Or if you have any better suggestions on how to maximize Vantage's use
during year end inventory I would love to here them.

The "Time-Phased Material Requirements" report is a good one for finding out
about allocated material.

As far as inventory goes, if you use Vantage's physical inventory program,
you don't have to freeze your database, nor do you have to stop working.
When you start a count in Vantage, the start date and time are noted. Any
transactions happening after that are taken into consideration when counts
are entered. We've been using it for our year-ends for 4 years now and have
found it to be great.
