Part Numbering for Supplies

I inherited a system that works and have had no complaints. So when we went
to Vantage in 1999 it stayed put. (as a side note there is a secondary crib
system which we did not want to change at the time.)

So the basic supply part numbers are 6 digits and numeric. There are
categories such us chemicals, office supplies, shipping, inserts, and even a
miscellaneous. We have quite a few, to segregate various areas of the
operations. In the description is pertinent info about the item. Then you
use the price structure for retention of the vendor, and then use the actual
part number or edp in the MFG # field. In this manner you could have 2
products to fill your need of "your" part number.

Production materials are completely different, but we added a new one a
couple of years ago. We were building a machine and buying hardware and
other items to put on it. They were not being modified in production, just
used as is. We felt we should keep this kind of inventory separate.

I am not exactly sure what kind of supplies you are talking about. If
they are for a job, this is an issue we have been wrestling with for
years. At one point we were using customer's part numbers and
supplier's for the material. This left us with inventory quantities of
the same part under different seemingly unrelated part numbers. You
could always cross reference this system, but it is difficult to
recognize.

To eliminate some of this redundancy we went live using the supplier's
part number. Since we use a limited number of suppliers (2 - 3 tops)
for any particular material, we get rid of some of the inefficiencies
being tied down with a customer number. The disadvantage here is being
tied in with one vendor due to a part number.

When we were prototyping Vantage we decided to develop our own hardware
numbering system, which, unfortunately never got implemented. This
would be the ultimate way to go. It allows you to tie in your customer
and vendor part numbers.

I would really be interested in how others handle this in their
organizations.
