Vantage Payroll

We date the checks for Fridays which is our payday. Checks can be given out
early......but it is still Friday that is the
pay day and date. Now that we are 100% direct deposit, it cures all issues
surrounding vacation days. Very handy for every one........nobody has to
wait at a mailbox for a check to arrive or drive all the way into work to
pick up their checks if they can't be at work on Friday. Friday attendance
is still good.....maybe not quite as good as it used to be though.

My quarterly tax reports are all off and I was wondering what date other

wanting to take a post dated check?

We just went to 6.1 and this hasn't ever been an issue before and we
have been with this company from the DCD days in 1989.

Have it, works great. Would like for it to act more like A/P checks---run
the paper checks first and then queue up plain paper for the direct deposit
individuals (would save lots of check stock)..........and having NACHA files
directly from Vantage would be good too........but other than those two
things........we get along right well with Vantage payroll and wouldn't want
a payroll service. W-2's first full week of January is always my goal and
we achieve it.

We use it and are pretty happy with it. We are still on 3.0. I think the
hardest thing is to get your setup right to make sure all the $ go where you
want them to go based on various settings from jobs, shop employees, labor
expense codes, indirect codes, job departments, operations, work centers,
pay types, pay classes, etc. I have a Word document that was given to us
that helped a lot in getting payroll started. It was written back when 3.0
was the latest version. I can send it to you if you want it.

Something that I have been waiting for related to the Payroll module is a
check form that is a Crystal Form that you can modify. There are some
things we would like to change on the actual check printout. For example,
we would like to eliminate the vacation and sick time information across the
bottom, as it is not accurate for our setup.

We also wanted to modify our payroll checks. We actually had custom
programming make some changes for us just to have the next patch
replace the changes...what a waste of money. I don't understand why
it is not a Crystal form like the AP Checks.

Unfortunately, since there are not many people using the Payroll
module, I'm sure we'll never see it changed.

We have always used data collection. We use the Holiday function in Vantage.
You set up your holidays and they are included when you generate paychecks
(you just need a review process to make sure everyone who is getting paid
qualifies for the holiday). We enter other paid leaves when we are running
a payroll.

Our union induced time-off and overtime rules defy logic, or the ability to
safely program the logic anyway, so I created a report that gives the
payroll person all they need to figure it out and manually enter it (into
ADP, we're not using Vantage Payroll). Sometimes it takes a human brain to
figure out how to handle working 50 hours in a holiday week (but not on the
holiday) with one sick day in there and both weekend days at 10 hours each
(as a maintenance person actually did moving equipment around one week).

That's the kind of situation that we face, and the IT person at the time (three years ago on Vantage 3.0) didn't see a clean way to handle those situations. We purchased the Payroll Module way back then but have never implimented it. I'm now wondering if there is a way we could do this.

Currently, we have an RB report run after all the labor is audited in Vantage. Then we export that to Excel where the Payroll person doctors it all up -- adding (and tracking) holidays, sick days, personal days, jury days, etc.

If anyone thinks Vantage Payroll could handle all that, like Todd describes, I would love to hear it.

We add their time in through manual entry with a payroll code for Sick,
vacation, loss, etc that way we can run our reports for quarter and yearly
and have total hours by paid, unexcused, not approved, loss of family and so
on.

We've been using Vantage payroll for 5+ years and for the most part we have
minimal problems. I do agree we need better reporting capabilities,
although using the export utility we can get the info we need, and a Crystal
payroll check. We process 175 payroll checks biweekly, 5 shifts, with 40
service guys. We use shift differential for night and weekend employees.
Cards are input daily by 8:30 and he time is reviewed by the payroll
supervisor using the labor edit report. Service time cards are faxed daily.

The holiday scheduled can be trouble at times but our payroll department
does a good job with the review. All shifts are listed with employees,
hours, holidays, and the hours paid for each holiday. It all appears to be
a bit confusing, but after 5 years it all works pretty well.

We are a small company and don't have any weird overtime issues. Any
holiday payroll run, you might have to review to make sure all employees are
eligible for the holiday and any overtime comes out ok (ex: have to adjust
part time employees to 4 hours each for the holiday, did everyone work or
take paid time off the day before and after the holiday, did anyone work on
the holiday, etc.). We use pay types to add for things like jury duty, PTO,
etc. This along with labor expense codes allows you to send the $ to the GL
accounts you're wanting.

Paul, your mention of "Crystal payroll check" peeked my interest. In
general, what is your procedure? Do you "print" the standard checks to a
file or something, post the group, and then run an export to create a dbf
that Crystal uses to print the actual checks?

We have been using Vantage payroll in conjunction with data collection from
inception 5+ years ago. We are nonunion and subsequently don't encounter
some of the issues Todd Caughey faces. Today marks our first direct deposit
payroll and over all has gone very smoothly, yes I did check to see if my
money was deposited and I am happy to report that it is there. We have as
many as 20 different deductions setup and not being the payroll person I
have had very few issues I have had to deal with pertinent to payroll. We
have looked into outsourcing on a couple of different occasions, more from a
liability perspective than anything, but have concluded that the additional
cost outweighed the liability concerns given the fact we have not
encountered any liability issues to date (KOW).



We would like the ability to segregate those who utilize direct deposit into
their own group and be able to assign unique transaction numbers essentially
replicating the sequential check numbering scheme. This would allow us to
use plain paper as opposed to the more expensive check stock. Our current
conversion application (kudos to Scott Hemmerlein) that converts the Vantage
generated text file to the ACH format utilizes the check number as the
unique identifier as required by NACHA file format.

We currently purchase the pre-numbered check stock from Epicor, this being
the case doesn't allow us the flexibility to create multiple payroll groups
and only print the directly deposited payments on plain paper as we would
end up having to dispose of the corresponding preprinted check stock as
Vantage doesn't currently allow, I believe, check numbers to be duplicated.
Having the option of the payroll check in Crystal format could go along way
in resolving these kinds of issues.



All said, we need more Vantage users utilizing the payroll module to get
Epicor's attention so we can see some of the enhancements we are looking
for. Jump on the Bandwagon!

If you are dead set on printing direct deposit voided checks on plain paper,
you could create two classes for every pay class you use (one for direct
deposit employees and one for check issue employees). Then have your
payroll groups segregated by pay classes to get what you want.

We figured that the time and effort expended in creating different payroll
groups probably would outweigh the cost of printing voids on actual check
stock.

Other companies out there mandate that everyone have their check direct
deposited.

My quarterly tax reports are all off and I was wondering what date other
users put on their payroll checks. Do you date them on the date they
will be handed out? Has there ever been a problem with someone taking
Friday off and getting their check a day or two early and the bank not
wanting to take a post dated check?

We just went to 6.1 and this hasn't ever been an issue before and we
have been with this company from the DCD days in 1989.
