Direct Deposit

Jerry-

Thanks for the information. Yes, I use Exact4Web for cash management
purposes - I just need to have the ACH feature added.

Thanks!

Rick, we have used National City for version 5.0, 5.1 and now 6.1.
Their
web product is Exact4Web and it is very easy to use. You log in to the
web
page, upload the standard text file Vantage creates when you print
paychecks
with DD, verify the totals (or detail if you want) and you are done. I
have
never had a problem from their end. I have uploaded a file at 7:30pm on
a
Thursday night with a Friday effective date and everyone had their pay
Friday morning. We have switched banks again (our owner loves to switch
banks) but I keep a National City account just to do our direct
deposits.

I would be interested in learning more. Another Vantage user who is
either
on 5.0 or 5.1 uses Vantage Payroll and uses our same bank (National
City)
for direct deposit. I understand that it is pretty easy for them (I was
lead to believe no special programming was required for them). I asked
our
cash mgmt. rep to contact theirs so that we can be set up the same;
however,
I forgot that there could be differences due to versions (we too are on
6.1). I am in the testing stages and plan to go live 4/1 - if there are
any
"gotchas" with 6.1 vs. earlier versions, I'd like to know ASAP.

Our company is in the process of setting up direct deposit. Employees want
their vacation checks separate.
Since Vantage does not allow a 2nd check on an employee in one payroll
processing, how do other companies handle this? We have been doing a
separate payroll with a different date than regular payroll to process
vacation pay. I have been told that if you process another payroll and date
the checks the same as the regular payroll, the second one overwrites the
first, even though the first has already been posted. If we do 2 check runs
for direct deposit, we will be charged for 2 batches at the bank. This could
all be eliminated if Vantage would just allow a 2nd payroll check to be
processed.

Also, since we cannot force all employees to use direct deposit, is there a
way to print live checks separate from the direct deposits so that we do not
void and waste checks just to print payroll stubs?

Thanks in advance for any help.

Our payday is Friday. If we have vacation checks to process for the same
payroll week, we process them with a Saturday date for the checks. However,
when we create the ACH file for the bank, we grab the text files from both
payroll groups at the same time to go into one ACH file for processing by
the bank with the Friday date to hit their accounts.

As to printing the direct deposit check stubs separately from the actual
checks, we considered separating them as different payroll groups. However,
we thought that the time expended processing two groups every payday would
probably outweigh any savings in paper vs. printed payroll checks.

Karen, you received the only answer to give you on this already. But we
have the same issue with vacation checks as well. You are not alone. It IS
very inconvenient to have to run two runs of checks each week. Or more if
someone is going on more than one week of vacation.

I have a subcomponent on a part that requires a subcontract operation. I
would like to see the subcontract costs on that subcomponent when I run the
Bill of material cost report. I've added the Subcontract operation to the
subcomponent and it is reported as expected when I run the cost report with
only the subcomponent. However, when I run the report for the parent part
the subcontract costs don't appear on the report. Is there a trick to this
or am I looking at a bug. Ver 5. Patch 325.

Just curious -- those of you who run two separate payroll batches for direct
deposit and non-direct deposit -- what check numbers do you use for your
direct deposit batch? Do you have a separate sequence? We are part of the
"check wasting" group.

Debbie,

We are doing direct deposit and it runs pretty well. We actually do three
batches of checks each week, but that hasn't given us any trouble.

We added a VB Form to the employee master file so that we could store all
the relevant information (account #, rounting #, etc.). I'm pretty sure
Vantage is set up to do direct deposit without the use of additional VB Form
fields, so you might want to view the help file, or I think there's a
document on EraNet that deals with this.

Then, we set up a deduction that deducts 100% of net pay. All we had to do
after that was create an export (using the Export Utility) that would read
all the records in the PRChkDed table (where all payroll check deduction
information is stored) with check date xx/xx/xxxx and deduction type
'DIRDEP' (or whatever you happen to call it). I send that file, and the
money magically ends up in the employees bank accounts.

Again, I think Vantage gives you another way to do this, but I'm not
familiar with it. In any case, it has worked well for us.

We have used DD for a number of years. Vantage payroll will create a file
automatically when you print paychecks. The rest depends a lot on your bank
and what they will accept from you. Our bank has a website we upload the
file to. It all works very smooth for us. There has been several good
discussions on this subject here and I am sure if you search the message
history in Yahoo you will get some good info.

We finally got direct deposit working thanks to the help of another Vantage
user. Our only problem was that our bank did not provide software to
convert the Vantage text file output into the ACH format required by banks.
Most of the other people I heard from using direct deposit were provided
that help by their local bank. We can include multiple Vantage check run
groups in the same ACH file that we send to the bank. The only thing we
have to do is to limit the number of accounts per employee at any given bank
to one checking and one savings. This seems to be a limit by our bank in
how the ACH files go from them to the various other banks. You can get
around this limit if the employee uses more than one bank for their direct
deposits. I know some companies require that everyone use direct deposit,
but we do not. We have about 80% participation. It sure is nice when we
have employees offsite.

Debbie,
We are currently using the direct deposit function in Vantage. It has been
running pretty smooth so far. We just moved to 5.1 last weekend and this
will be our first payroll run in 5.1. Our biggest problem was dealing with
our bank and creating a file that they can use. We add another to the file
sent to the bank every payroll. Not a big deal, just a hassle.

We pay biweekly and only run one batch of checks for each pay period. The
pay period and cutoff needed to be changed to accommodate the bank
processing and having the funds available. Multiple banks and \ or accounts
haven't been a problem.

There are a couple of things I don't like: Vantage prints "**VOID**"
across the check. I'd rather see "Direct deposited to account #######"
with the amount. Several employees questioned why they were getting a
voided check. Because the direct deposit is treated as a deduction, the
check amount doesn't appear on the tracker.

Contact me at pklinger@... if you have any other questions.

Hi, we are currently using the payroll module and thinking of
switching to direct deposit. Anyone willing to share their process
on this would be greatly appreciated or things that i should watch
out for!
Personally, and for the company, I LOVE direct deposit. NACHA language
directly from Vantage would be an ideal enhancement.....but we got it to
work out okay with our bank. We did not force every one to go to direct
deposit....Management choice there. But those of us who have it wouldn't
want to go back to a paper check and running to the bank every Friday at
lunch. When we started, we sent pre-notification transactions to make sure
all the accounts were set up correctly before issuing live checks. That
saves unpleasantness on pay day.

We already had two groups every payday, so we figured the extra cost of
adding two more groups to separate out direct deposit would more than offset
the cost of printed checks. So we run all checks on printed checks. Anyone
who has their whole net check going to direct deposit will automatically
print like a voided check, but with all the details on the stub for the
employee's records.

See responses to your questions below....

WELL THE WAY OUR BANK DOES IT IS THAT WE WILL ENTER ALL THE
INFORMATION THROUGH THE INTERNET, NOT SENDING A FILE, I GUESS MY
QUESTION IS HOW DO YOU GO ABOUT PRINTING THE STUBS IN VANTAGE, DO YOU
STILL ASSIGN A CHECK NUMBER BUT PRINT ON BLANK PAPER? That is one option.

IS THERE A WAY TO PRINT A VOIDED CHECK? Checks that are a zero total because
of the direct deposit deduction are automatically printed with the word VOID
on them.

DO YOU JUST HAVE TWO GROUPS THEN, ONE DIRECT DEPOSIT, ONE PAPER
CHECKS? That is an option. Our groups were not set up so conveniently. We
still print them all on check stock because of the 10 or so people that
still want paper checks. It would be a lot more work to calculate taxes,
etc each week if we ran two whole check runs. That option introduces an
ability to make errors that I am not willing to incur.

A/P electronic payments work much smoother.......all the real checks print,
then the electronic ones print on plain paper with a different check number
series. Ah, there's an enhancement request....just haven't called support
recently.

Dauphin Graphics has been using direct deposit since January, 2001. We run
a biweekly payroll for about 180 employees, of which 113 use direct deposit.
We had hoped for greater participation but you can't require employees to
use direct deposit. It has been a blessing for our road guys and the
payroll supervisor who had to deal with 'where does the check go this week'.

When we implemented, we had to change our payroll period to meet our bank
requirements. Payday is Friday, employees with direct deposit have there
funds available Thursday, but the file must be at the bank Tuesday by 10:00.
We have one check run per pay period.

Recently we have had some problems with the .txt file being created from
Vantage. For some unknown reason, the identifier for checking account or
savings account is being dropped. It isn't happening on all the records,
usually about 5 or 6. Epicor is investigating.
