Crystal Reports distribution

Cindy,
Crystal Web Component comes on your CR 8 CD (at least in CR Professional 8.0, and Designer is one step up from Professional, I think). There should be a separate little book included in your documentation describing how to install the WCS (Web Component Server). You will need a NT station (or Wind2000 or WinXP Pro), plus you'll need Microsoft's Internet Information Server (IIS) 3.0 or above on that computer. IIS is sometimes on the CD for NT Server.

With CR Designer, you can also do some embedding of reports in other applications which some users have done with success.

No you do not need to install Crystal on each workstation. You may compile
the report to be a “Point & Run” report. The user is then only presented
with the filter options that they need to enter and then run the report.
The other advantage of this is that on the initial screen the user has the
option of running the report at a future time or date. This allows users to
run reports when they are not there or the system is less busy. If you need
any assistance walking through this process please let me know.

The posts are so slow today this might be really late but....

We use the report distribution facility downloaded from CrystalDecisions web
site and usable only on Crystal 8 (or earlier?). You can not distribute
self running reports with 8.5. CD is very much encouraging web distribution
of reports. Good if you have a web server and want to get into all that but
bad if you like things real simple. All of our custom reports are
derivations of standard Vantage forms (Traveler, PO, etc...) and run off of
the .dbf files in vntgwork (created by print preview in Vantage and then
exit leaving the .dbf). I suspect it will work for (but have not tried)
report distribution for reports using ODBC if the user also has ODBC
installed. Once the report is distributed I have a link on favorites to run
it.

The official answer from Crystal Decisions (the company formally known as
Seagate Software) is to use the web component server and distribute reports
via HTTP. However, you can also compile the reports and (with ODBC
installed on every workstation that would need to run the report) have users
run the reports from a compiled executable. This method, however, presents
some issues. If any semi-savvy computer user uses Access or Excel they
could potentially view information that they aren't supposed to. This
method is really nice for viewing reports, but ignorance is really your only
security that someone won't look at something they aren't supposed to.
Another thing that I've done is to create little VB programs that run the
reports and email them to their destination. By doing this, I can get the
information to the people that need it, without having to install ODBC on
each workstation. I use this with a combination of web reports for a decent
Intranet.

Sure, scheduling is really easy. Due to the fact that the reports are
compiled executables you can schedule them using the AT command (or with the
Windows scheduler). This provides some great flexibility without any
additional expense. Here are some examples of things I've setup this way.

* Shipping reports sent to customers via email at the end of every day
* Inventory availability sent to customers weekly
* Management reports that run overnight and are waiting in their
respective inboxes first thing in the morning
* Exception reports for different areas (job's that aren't completed
properly, sub-contract operation status, etc.)

Okay, "help" I need more information. I went to the crystal decisions web site but I didn't find any type of document that says, "This is how to set up your distribution functionality". We don't have a web server so I'm hoping that it doesn't require one. Everyone has internet access but I'm utilizing the NAT in our Win 2K server with shared dial-up access. Help............

When we purchased Crystal 8 (which is what you'll need to do Web Distribution), there was a thin little booklet that was an addendum to the big thick manual. If you don't have it, you may want to call Seagate to see if you can get it. This will tell you almost all you need to know about Web Distribution.
It does require a server, but this is simply a workstation in your company with NT 4.0 installed on it. And you DON'T need Internet Access to use the Web Component Server. It's all internal to your company. In fact the NT 4.0 workstation can have Internet access turned off. What you're basically doing is creating a small local Intranet. The browser on each client workstation is simply the viewing tool that is used to view the report.

reinstall after any changes) the report on each PC where it is to run. Most
of ours are run by only one person and never more than three people.

One hassle I should mention about distribution is that you must install (and
reinstall after any changes) the report on each PC where it is to run. Most
of ours are run by only one person and never more than three people.

We found a way around the above hassle by distributing the report to a folder on the server along with all the DLL files that go with it. You have to run Setup only once on the user's PC where it is run, which you can do by double-clicking the setup.exe file that is created in the folder for the report on the server. After that, they can just click a shortcut to the report on the server. Modifying the report means you only do it in one place (on the server) instead of on each person's PC, and you don't have to run setup on their PC again for subsequent reports that they choose to run. When new reports are added to the server, you don't have to run setup on that person's PC again. You only have to run setup.exe once on a PC that is running a distributed (compiled) crystal report for the first time.

Also, I have found that simple changes to a report under this method (such as moving a field around a bit or adding text) don't require you to recompile the report. Only occasionally when making major changes to a report have I had to recompile the report.

Interesting... I had assumed the DLLs had to reside on the user PC. I
already have the distibution files on the server. I will try a sub-folder

Well, the basic DLL's do need to reside on the user PC, but they are virtually the same for every report, so once Setup is run once, that PC should be all set. These were steps given to us by Seagate.

Server (or now called Crystal Enterprise in Crystal 8.5).

I use the Report Distribution (with CR 8.0). I "compile" the report and
save it to its own directory (CrystalReports) under the Epicor folder on the
server. Each distributed report has its own folder. Inside the folder are
all the files required ont he client machine including a setup.exe. I go to
the client, run the setup and it creates a Crystal folder under
Window/programs where it saves the programs and then creates a desktop icon.
I usually add the program to the Vantage favorites bar. Most of ours are
driven by the user running a report to print preview in Vantage (such as a
Traveler) and then running the exported Crystal report to use the data
selected into the DBF files.

There were a couple quirks in the creation of the distribution files,
especially to uncheck "distribute the data files". But mostly it goes very
smooth. If you have a specific question please post it.
