I created an Access database that reads in the job information from
Vantage then prints out count sheets. After production counts the parts
in WIP, I enter it into the database. I also enter totals from a custom
WIP report (the Vantage WIP report lumps material, labor and burden into
the material cost for parts going into jobs but separate material, labor
and burden costs for parts going out) for material issued to jobs. I
then print out a variance report which is researched for discrepancies
followed by the accountants doing their thing.

Just to spot check our WIP I have an access query that shows all the work orders that are open that haven't had labor posted to them in the last "so many" months. Then I give the list to production/manufacturing personnel to let me know if any of them need to be closed and explainations as to why they are still open. I do this every few months to keep our WIP current.

We manually do our WIP at year end. It is a pain. We print out production details for every job with value. Associates go with the production detail and a two part inventory tag. On the tag they write how many pcs are done and what operation they are staged in. The hard copy of the tag goes into the job packet and the top copy of the tag goes with the production detail. If the tag is different than the production detail is, then changes are made on the detail, then in the system, an updated production detail is printed that matches the details on the tag, and then the tag is stapled to the updated production detail. At the end of this mess, a WIP report is printed and for every job on the WIP report with costs, there must be a tag and production detail.

Help, this is such a pain. We need a better way. This is the way our CFO has always done it. I want to show him there is a better way. Any help would be greatly appreciated.

If you have a valid WIP report why would you need to do all that... we just verify that the work orders that are open should be open. So at year end inventory the work orders that are on the floor are written down and I compare this to all the open work orders... and make a list of all work orders that are open that were not noted as being in house. This list is investigated and any work order that is not found and should be closed is closed. What do you do if there is a count discrepancy? Do you do a DMR on the pcs and scrap it? Maybe that is the difference our DMR cost stay with the work order and are taken to cost of goods sold when the parts ship or when the work order is closed.
