Document Management

We would like to know the experiences anyone is having with Doc.
Management. Is it good ,bad, not worth it etc. Also we inquiring about the
doc. management pro. Any input on this will be appreciated
We have been using AutoVue to browse related documents. All of our
production prints are scanned and saved as a .tif image. Everyone then has
access to view or print any print from their PC. Saves the hassle of going
to the filing cabinet and finding out it's not in file. It works quite
well.

We make extensive use of document management. We've standardized our
software to microsoft products, though we have used it with a smattering of
other software. We use it to control our process cards for manufacturing.
A process card is printed at the start of the job then destroyed at the end
of the job. Only our process engineers can make changes to these cards. (NT
security and document passwords). This method was described as impressive
by our QS9000 auditors. (We passed certification) I would like to see more
features but overall I would call it very very useful to us.

Watch for 2 key elements:

1) When you create a new revision letter for an item you will have to
manually reconnect all related documents to the new revision. The
assumption is that all documents are revision sensitive and should not be
automatically linked to the the new upper level revision. Personally, I'd
like a button that says "Copy Docs" so that if you want to copy them you can
without having to re-drill out to each document. The old copy and paste
concept ...

2) There is also a rather old suggestion floating around EPICOR to give us
the option to print some/all related documents when we print travelers.
Specifically an option on the document management screen to specify which
documents should be printed with the travelers and/or which documents should
be printed with packing slips, etc. and then an option on the traveler print
screen to click if you want the related documents that have also been
checked.

Other then these 2 issues it isn't bad. Be very careful how you setup your
document directories. For this to work you have to have a network drive
letter that is common to all pc's - like 'W'. Then you have to have some
logical way of setting up your directories - like
W:\CST\CUST-NAME\ITEM-NO\DOC-NAME.DOC. Lastly you will need to think
through your security since different groups of people will need to update
different types of documents while most people will need read-only access.
Also, understand that once you setup this directory structure you will be
stuck with it basically forever since to change it would require relinking
all of your documents.

Another thought for you is that you could:
* Setup your "W" drive or whatever you would like to use
* Setup your directories and start saving documents
* Purchase AutoVue on the open market - not from EPICOR
* Users would then use explorer to browse your "W" drive to find the
documents they are looking for and then print them.

The value to AutoVue ( or any similar package ) is that most of the company
will have READ-ONLY access to these master documents while some departments
can be given FULL-ACCESS to add/update. ( At a previous company we had ALL
.DWG AutoCAD files on a network drive with read-only access to EVERYONE in
the company except 1 person - the final checker in the engineering
department. When an engineer wanted to change a drawing they would copy it
down to their personal directory, make the changes, and then copy it into a
"Checker" directory. The final checker would double check that all
standards had been met and then would copy / overlay it back top the master
drive. )

You might want to purchase AutoVue, setup your directories, give it a try,
and then if you are still interested in the concept purchase the Doc-Mg
module.

Not worth it. It's very cumbersome and nothing is automated.
If you just want to view autocad drawings get autodesk's free
viewer. If you have other formats then get Autovue.

open DWG and DXF files.

We have our engineers turn the ACAD files into PDF files. Check out
PDF995.com. I got a 25 user license for $200. You can get it for free - It
fully works you just get two pop-ups after you make a PDF.

Check out AcroPlot at http://www.cadzation.com/ . We have all of our
approved AutoCad files automatically converted to PDF. You can put each
view of a cad file on a seperate page in the pdf file. Works great.

shelled to each workstation that requires it. It is NOT licensed "per seat
of Vantage." Otherwise, I could never afford it.

Sorry to give you bad news but thats not true. Durring a licensing audit we
discovered that if Autovue is installed on the server then a license must be
purchased for each workstation that can open Autovue. Epicor and CIMMETRY
has confirmed this. Below is an e-mail exchange with our sales rep at
Epicor. I am sure I have other e-mails I can share with your about this.

conversations occurred. But often times, a customer will state that only a
few employees will need to access Autovue, usually engineering, so just that
many seats are purchased. It doesn't sound like the plans you have today to
make documents and drawings available to all users existed when you first
purchased the system?

Let me know what type of timeline you're looking at, and maybe I can do
something on the price?

want to be compliant, you need to purchase an Autovue license for every
person on the network who has the ability to launch an Autovue license.

The Solid Model version of Autovue goes for $1125 per user, plus you can
upgrade the 5 Autovue licenses you have to the Solid Model version for $700
each.
