Scanning Documents/Use of Document Management

We have always had to pay for the upgrades. Patches have been free. The

Solid Model upgrade cost us several thousand because it was an add on to
Autoview.

We would like to be able to scan the following pieces of information:

1. Customer P.O.s
2. Signed BOLs
3. Material Certs

In a perfect world, these could be linked to the appropriate document
within Vantage; however, wouldn't this chew up too much space over time
(assuming these scanned documents would become part of the Vantage
database)?

Our thought would be to scan all the day's documents onto our server and
name that day's file with the applicable date. Then after 45 days or
so, burn them off to a CD. Also, what sort of recommendations would you
have about the type of auto-feed scanner? Finally, would we need to
purchase the Document Management module, or could we get by without it?

I would appreciate any thoughts you may have!

The document manager module is useful and we use it extensively. Here is an
alternative: Create a standard "LINK document" Excel works best. Have all
your link documents in one directory on your server. Name your link
documents according to your numbering scheme. Use NO SPACES in your file
name. Create a text field in VB forms, create a BUTTON in the VB form with
the following code in the button.

"SHELLEXEC
E:\Customer_Specific_Data\1_custlinks\{Customer.CHAR-FIELD_4.scrvalue}"

(this button code is in the Customer VB forms leading to the link page
directory on our "E:" network drive. In the CHAR-FIELD_4 text field enter
the exact name of the link file including the file extension. Open the link
page and hyperlink away. I suggest setting up a directory scheme that is
logical and makes sense to you company.

As to scans, if you have a high speed scanner, LIMIT WHO handles
this. Most users have the aim of a hound dog marking his territory, you
will have stuff EVERYWHERE. Make somebody(s) responsible for managing this.
Watch your scan resolution, you will consume space at a scary rate.
Discourage INHOUSE emailing of attachments you will have copies and copies
of dead attachments everywhere and you will soon be out of control.
Encourage, the use of HYPERLINKS in Emails, adjust the default file path in
your users Microsoft Apps to point at your document server.

PS,
We use a Panasonic 6010 copier, network printer, scanner, fax.
Seems to work well and doesn't break any more often than anything else.
$16k with attachments.

We just implimented a Document Imaging Program
We have had alot of sucess so far
(Of course we are goign live with it March 1st on the shop floor)
We are scanning in all the "extra' Dcouments that go along with our
Bill of Materials. Many times our BOMs have a extra ream of paper
attached to them which has drawings,, process sheets, etc etc etc
So we are taking all that extra paper and scannign it into our system
so that it will be accessible electronically.
The shop worker will be able to pull up this information on their data
collection pc
(We are looking at adding more DC units on the floor)
If they want a hard copy there are laser printers on the DC units we
jsut bought (CHeap Brother lasers for $75!) and they will have a
watermark on them that includes a "UNCONTROLLED" watermark with a
statement that the print is only good for 1 week
This helps with out of date revisions etc.
SO far in our test enviroment (Which contains more savy computer
users) on the floor has worked really well.

How did we make all this happen?

Here is how our process is working thus far
We purchased two new copiers with built in network scanning.
We scan the documents to a FTP Site I set up as TIF Files or PDFs
Then the person scanning in the documents goes and rennames the
scanned image (THe scanner assigns a random name) then moves the image
to our Image Shared drive
The scanned images are very small ( Some are as big as 15K!) so they
do not take up alot of room

Then you go into Vantage and associate a part with that image.
The big thing is to use AutoVue for your viewer
AutoVue is supplied by Vantage

SO far it's been running pretty good

If you like you can contact me off list and I will be happy to share
more with you on this process

It seems like a large task but if you break it down and get the right
flow of logic going, its pretty easy to do

The only thing that gets stored in the Vantage database is the filename and path. The physical file still stays on the hard disk of the computer or even another server altogether (not in the database). If you delete the file, vantage just can't open it. Kind of like making a desktop shortcut to a file and deleting the file. The shortcut does nothing (maybe report an error that file not found).

The trick with document management is that Vantage assigns an application (and path to that app) to a specific file extension. Then when a user goes to view the document, it tries to use the application associated to that extension in Vantage (not the workstation registry). This can sometimes become a problem if one user have Word and another user doesn't and you assign .DOC to word.exe. The user without Word installed on their computer can not view the documents from vantage (even if they could open them up from explorer in wordpad, vantage has assigned the association to Word.EXE).

Epicor sells a package called AutoView which can handle several document extensions (AutoCad too I think). You just need to make sure that the viewer you decide to use in vantage to associate the extension to has to be installed at all user workstations that will require viewing the documents.

Now that I've typed this, I just had an idea. What if I create an application to use within Vantage document management for ALL document associations (like Autoview) except my application would read the file and extension and pull/use the windows registry to fine the associated application to that extension on that specific pc and then use that application for opening/printing the document. This might actually work. :)

The only problem I found with Autoview is the licensing. Every machine that
can access it via the network must have a license.

I would also consider purchasing it from somewhere else other then Epicor.
They give you a great discount off of retail BUT you will pay annual
maintenance on it without getting any updates. Just support.

actually I feel stupid that I didn't think of this before. I just finished writing the portion to pull the file and find the associated app and it worked on every extension I through at it. For stuff I didn't have an association to, it just pops up a message of no association. Documents that have an assigned association in the windows registry, open no problem. Now I just have to see how it works for dumping it straight to the printer using the associated app. Then just create it so that I can pull the information from the Vantage document management buttons and I'm done. :)

Between Vantage 4.0 and 6.1 somewhere we got an AutoVue update. It now handles 3D CAD pretty well with the solid model portion. I thought that whatever version Epicor is getting from Cimmetry, and is distributing when people buy it, is the version we are entitled to. That's the way it seems to be working anyway. We probably could have saved some money getting a bunch of seats of Hijaak Pro as a universal viewer but it doesn't handle all the CAD formats as well as AutoVue.

We have always had to pay for the upgrades. Patches have been free. The
Solid Model upgrade cost us several thousand because it was an add on to Autoview.
