E-mail notifications

The only thing they ever did was on the server, creating a relay, they never did anything within the customization. We do have a similar customization which uses outlook and opens a new email window from outlook, and populates it with a To address, Subject and body info. But b/c it goes through outlook nothing needs to send from Epicor regarding ports or authentication.

We're on 701 so not sure what vantage has, but you might want to check on your client computer. Here is something from Epic Web. The link and then a section copy/pasted: Hope this helps some.

Client Machine Setup

Each client installation must also be set up so that it uses your company’s SMTP Server and Port. This is the SMTP Server that is defined through the Company Configuration program within its Email sheet.

To do this, you will update the client’s configuration file so that it points to this SMTP Server. This configuration file defines the main parameters of the client installation; it is usually the default.mfgsys file that is automatically installed for each client. Typically you can locate this file using Windows Explorer by opening the Epicor folder, the Client folder and the Config folder.

You can edit this program within either a text editor like Notepad or within the Configuration Editor program (this tool is also found in the Client folder). Within the configuration file, you need to change the SMTPServer setting so that it displays the company’s SMTP Server value that you defined within the Company Configuration program.

Example: You need to set up a client machine to receive internal company email. To do this, you open the configuration file and change this setting from <SmtpServer value="exchange-booth.bigcompany.com" /> to <SmtpServer value="shale.bigcompany.com" />.

You also must make sure that this client workstation does not have the email Port blocked. Typically this port value is set to 25 within the Company Configuration program.

To learn more about the configuration file, read the Configuration Settings File topic. For more information about the email settings, read the Company Configuration - Email topic.

We are on Vantage 8.03.4070. We lost our e-mail server and are unable to send automated e-mail notifications. Does anyone know if we can do this without  an e-mail server? Is there another work around?

You need a SMTP server…  either onsite or hosted.  A work around would be to get a low volume plan from a hosted, secure smtp relay service such as these guys.  http://www.smtp2go.com/pricing

I've used them for various purposes in the past.  You just update your Vantage SMTP settings to use their smtp server instead of yours.   They even have a free service up to 20 emails daily (if you wanted to test it out).

Do you have a Windows 2008 server with IIS on it?  You can install the SMTP server service and use that to send your notifications.  As a matter of fact, if you have any spare windows 2008 server sitting around, install the IIS and SMTP service.

Regards,

Sigfredo.

Thank you,. We went with the smtp2go. The only issue I have now is I don’t know where to go to change the server information in Vantage.  We send an e-mail from the order entry screen with a copy of the sales order acknowledgement and I don’t know where to find it.

Not sure if you mentioned this or if it's necessary, but did you cycle the appservers after changing it in Company Config?  However, Company Config is the only place I know of where the SMTP setting needs to be updated.

You mentioned sending a Sales Order Acknowledgement – is that directly through Epicor or through doc-link/APM?  There is a place to define it in APM…

Either way, if you use APM, and your email is not working, you would have to change the email server in the setup for APM...
Go to the admin console for APM, then to the menu item Manage, choose system settings, then choose SMTP under the Environment group and change your server there...

I'm going to preface this with I'm not our IT guy and don't fully understand email servers so if I use wrong terminology forgive me.

About 4 months ago our company switched to using full SSL.  This initially caused us major problems b/c Epicor doesn't have anywhere for you to enter authentication. I believe we had to set up a "relay" (not sure if that is the correct word) email account. I think we also had to have a specific port which would accept emails from inside the building so that we could print to APM and send out emails. I'm not sure if this is helpful or not, but I can get with our IT guys if you want some more detailed info on what we did.

-Bobby

Thanks for the info. I am not the IT person either. I have an outside vendor working on this but he doesn’t have Vantage experience. We actually did this part but I think we may have to change the info somewhere else as well since it is a customization and the e-mail is automated once you hit the button. Maybe your It would be willing it talk to my guy?
