Email from within Vantage

I haven't yet seen anyone suggest using a fax program configured to also
send as email. I use WinFax Pro 10.0 and instead of faxing the document, I
email it. It opens up Outlook, allows me to pick from my address
book/contact list and sends the document as an attachment. I can include a
subject and also some text in the body of the email. The only thing is, it
attaches as an executable so the recipient may mistake it for a virus and
delete it. The recipient must save it to disk and then open it that way. I
include in the body of the email instructions to that effect - that this is
NOT a virus, save to disk then open it from disk.

Works pretty slick, I think.

My $.02

Does anybody know of a way to email things (i.e. quote form,
acknowledgement form, etc.) directly from within Vantage?

Thanks...

Your best and easiest bet for now is to go to www.pdfzone.com
<http://www.pdfzone.com/> and get a relatively cheap "Print to PDF"
program. You can then attach the resulting PDF document and email away.

We installed Adobe Acrobat (full version) on a PC and have the acrobat
distiller running. We set up a postscript printer on each computer that
prints to the "IN" folder on the PC with distiller running...use "print to
file" on the printer setup. When you print to the "IN" folder it will
convert the quote or whatever to a PDF and place it in the "OUT" folder.
You can attach that file to your e-mail. Works good for us... you just have
to make sure the users clean up the "OUT" folder

We use the MultiForm Utility from Caesar Developments. It may be more
expensive than the other options (when we bought it is was $600), but it is
great. Directly from the print preview window of any crystal form, you just
click a button and it opens you a new mail message in your email and
attaches the form as file of the type you specify (I usually use Pdf, but
you can also do Word, Excel, etc.). Then you just have to enter the email
address you are sending to (or select it from your address book) and type
the message and click send.

The utility also has other features. Such as, more options in the print
preview window of forms, and it allows you to have different forms, with a
drop-down box and the user can pick which form they want.

Another option when using crystal based forms or reports: recompile the
report from within Crystal and place it as a shortcut on the favorites bar.
Running the shortcut provides you with a multitude of options regarding
exporting and e-mailing....
The abbreviated paragraph below is borrowed from EraNet:

Page: 325MPS
Summary: CR Creating Compiled Report Using Crystal 7.0
AnswerBook: Vantage ChangeRequests

Below are the steps on how to compile a custom report using Crystal 7.0 and
how to add the report to the Vantage Favorites bar:

From Crystal:
1. Create a report and save it.

2. Click on Report then Compile Report.

3. Fill in Compiled File Name, choose Yes to 'Create a program item for the
report', then Yes to 'Distribute the report after'.

4. A dialog box "Report Distribution Expert" will appear. Under the "Include
box" (on the Options tab), uncheck the box labeled 'database file(s) used by
report'. Choose a destination directory by clicking on the browse button,
then choose Next.

5. The message "Analyzing Reports" will display, select 'no' when the dialog
box comes up.

6. Click 'Next' on the File List tab screen and the Third Party Dll's tab
screen. The Distribution tab screen will display with the following message:

"The Distribution Expert is now ready to compress the distribution files and
place them in the destination you have designated. It may take a while to
complete."

Click 'Build'.

7. A message "Compressing files" displays. Once this is done, another
message 'File Distribution has succeeded' will display. Click 'OK'

8. Now you can add the complied report to your favorites bar

9. Go into Vantage, Favorites, then right mouse click and choose 'add an
item'. Give it a name and click the search button, browse for location of
compiled report (report1.exe) and double click on it. Click OK.

10. The new report should appear on the Vantage Favorites Menu.

If you rely on this bear in mind that report distribution went away in
Crystal 8.5. 8.0 was the last version that supports it. Even the seperate
down-loadable add-on facility will not work with 8.5. Sort of a shame
because compiled reports are very handy.
