How do you use Requisitions?

We are slowly replacing our older processes with Epicor-compatible processes. One of those is doing all of our requisitions in Epicor. Currently, someone writes the req on a piece of flattened tree carcass. Then it is hand-delivered to the guy that enters purchase orders. If it doesn’t get lost on the way, or misplaced before he enters it, then he uses the information from the req to create a purchase order.

I would like to implement requisitions for all users, forcing them to submit them through Epicor. In reality there are only a handful of folks that ever need this.

I have read the help files, and I think I can see how it is setup, but I want to hear from you folks that use requisitions.

  1. How do your users enter requisitions? Do they always have all the detaiIs they need to submit the entry?
  2. Once you have requisitions in the system, what is the process for reviewing, approving, and converting to purchase orders?
  3. What’s this about dispatching?

For the most part, our users already know the supplier they’re getting it from…and the cost of the item. It’s usually just for for tech/repair parts or consumables/supplies…IT, maintenance shop, etc. Req gets entered and routed (dispatched) to our purchasing department for PO placement.

Where does purchasing find the dispatched reqs?

Requisition Entry. Could probably set up a BPM to send an email upon creation as the dispatch process may not actually do so. Our volume is so low (25-30 a month) that we haven’t needed to set up yet. Purchasing can open the screen and filter on “Approve Price” as they show up as “Create PO” once converted.

Time out. Are you talking about the RFQ or Purchase Requisitions? I read the initial post as Purchase Requisitions, but it sounds like @JMPCONJ is talking about RFQ.

Nope - talking about requisitions. Our users know what they need ordered so they do the legwork up front…

I am talking about when users need to buy more packaging material, soap, or tools. Right now they fill out the paper form. I want them to do it in Epicor. I believe this is done through requisition entry. I expect once someone enters a req, that someone else will convert it to a purchase order. I haven’t figured that part out yet. How do I create a PO from a req?

I am not sure what RFQ is.

My experience has been that once a requisition has been approved, it will appear in PO Suggestions. You did not mention that, so got confused.

Yup…anything from soap and paper towels to IT stuff like ink, toner, USB cables…generally non-inventory consumables.

I have approved a sample req, but I am not seeing it in PO Suggestions. I see a handful of old suggestions from 2008. But I do not see my recent requisition. I am also looking for some instruction on how to set this up properly. While the help files define what the fields do, I couldn’t find anything helpful in the Application Users Guide or Implementation Guide. Any idea where I can look for the complete requisition setup and implementation process?

The RFQ functionality is for a Buyer. They can send rfq’s to multiple suppliers and then evaluate the results to determine who to go with.

For the Requisition, you can actually do the whole approval of the purchase order through the process. A user inputs a requisition and when they are done, they need to send it for approval. The approvals can be multiple, but they need to be pushed forward instead of pulled. The final approver, or the person who entered the req, then needs to submit to purchasing. Once it is submitted, it will appear in PO Suggestions after the next run. The Buyer can see all of the approvals and reject or accept it.

I made a complete PO Approval process once using the Requisition functionality, I think it was when I did some consulting.

After the next run of what process? Do Requisitions rely on Process MRP?

Yes, PO Suggestions and/or MRP.

Thank you all for your feedback! I am still having an issue where my req is not shown in PO suggestions. This is my process for testing.

  1. Create a new requisition for some parts to inventory.
  2. Dispatch the req so it says approved.
  3. Run Generate Suggestions.
  4. Review PO Suggestions and search for any new reqs.

I think I am missing something.

Did you set up Requisition Actions?

How are your Requisition Actions set up? in step 2 what does the approval screen look like?

The final action you take in the Dispatching screen should be the action marked as “Send to Purchasing” in Requisition Actions setup.

In my experience requisition lines are added to PO Suggestions immediately upon dispatching to purchasing. No need to run the Generate PO Suggestions process.

We use requisitions pretty extensively, to the point where we created our own UI for requisition entry.

These two req actions were setup before I started. Clearly they are not in use now.
