Labor Entry

Hello Group,

We noticed something this morning that seems to be peculiar. Our
supervisor's periodically go into Labor Entry to make adjustments to
employees Data Collection entry's. This morning they could not edit
Friday's labor from Data Collection.

In investigating this, we could only edit the details for those employees
who are not clocked in for the day. We can also edit details on labor
operations that occured before 7/31/00. Interesting note is that 7/31/00
is the start of a new fiscal period for us.

We are running 4.00.812

Any ideas would be appreciated.

Thanks,

Wayne
Wayne,

If you're employees clock into jobs. Then accounting runs the Capture wip
and post then any employee clocked into a job that has been captured you
will not be able to adjust them. Also if you have employees who are not
clocked into any job such as people who were out or just not clocked into
any jobs are able to do whatever you want to them.

I have asked this question to a few of you individually already, so sorry
for the repetition you guys.

It appears that we may have someone going into Labor Entry and modifying
existing data collection transactions. It could be someone who already has
labor entry access, or maybe someone figured out somebody else's password,
or maybe some user left Vantage up on their machine when they shouldn't.
Who knows. I am definitely not a computer person, so I was wondering if
there is any possible way to track down what user, or what computer or
anything about the changed entry that would help us find the culprit.

I know labor entry doesn't have a logging capability, but I thought one of
you might know some other computer-related way to identify something about
who or when the changes could have been made. I looked at report builder
information from labor detail, the field "Labor Collection" that gives a
yes/no as to whether or not the entry was from Data Collection.
Unfortunately, if the original entry was from data collection, there is no
change to that "yes" flag when you make changes to it in Labor Entry.

Boy would it be useful to have a labor entry log with users identified for
each entry.

I sure hope one of you has a magic answer!

Nora,

I'm sorry to say I don't have the answer for you but I have been trying to
get the same thing for job close. Somehow jobs are getting closed that
should not be and we can't figure how or who is doing it. That is another
place I'd like to see a change log.

There are some relatively inexpensive programs out there (spyagent for one)
That will track every keystroke, and every mouse click on a workstation.
It's completely invisible, and its logs can be accessed remotely.

Not a direct method... but some of the actions you're asking to track
(labor entry, job closing) generate transactions in PartTran. These will
always have the actual userid and date and time recorded in them. You
could use report builder to track down the related transactions.

Is there a way to give supervisors and managers access to the labor
entry screen and limit it to display info and allow for editting only
of people that are under them?
When does Labor Entry Detail become locked for editing?

I want to go back a few days and edit labor information. The Details
menu is greyed out.

Thanks,
Ben
It doesn't that I know of. The only thing I've seen is when you try to
edit labor on a job that is close it let you save it, it errors. I've
never seen it greyed.

It becomes locked when the Capture COS/WIP process is run for the dates in
question

You can not edit labor on jobs in Labor Entry after the capture and
post has been run for that date.

Also if inventory wip reconciliation has been run it can lock down the
entry as well. I don't know if it has to be posted to lock it down or
just captured. I know in 6.1 you can make changes as long as you haven't
posted but I think they changed that at some point in the 8.0. Could
someone running 8.0 confirm when labor is locked.

As a note, in 6.1 you have to be careful with labor records after
capture. We had some production folks that made a mistake on their
labor and since the detail records were locked because the capture was
performed, they deleted the labor header records (which deleted the
detail) and created new ones. System shouldn't allow this so you have
to be careful - this causes problems in some of the GL tables.

In 8.0 labor is labor edits aren't allowed once payroll for that period
is posted. Also, once the capture is performed.

The labour details are locked once they have been posted to the ledgers
through the Capture COS/WIP Process.

This was changed back in an earlier version. (version 6.0 I think)

You can do a negative labour entry, believe it or not. Just make sure
you test it first though as Backflushing had a few issues in the earlier
8.00 patches
