[OT] Outlook Web Access - Saving messages to laptop

Yes, he is already doing this. But when he is out of the office and has only the web access to check new messages on the Exchange server (and reply to the customers) it means being connected for a long time. Aside from being "sales" he is the one-man operation for a venture/start-up company not related to our main business (he makes/sells bathroom mirror defogging systems) and that company is on a shoestring budget (ie much too high burn rate as it is). I think he uses Earthlink as an ISP and he needs to limit the connect time. Will Outlook-2000 synch to his off-line storage via his Outlook Web Access connection so he can quickly receive the messages and disconnect, then deal with them, then reconnect and send the replies?

Being the sole person in the business he really has to rely on his domain named email account - mainly sales@... from the web siste that forwards to his personal box at harveyvogel.com (our Exchange server's MX destination).

Sounds great if we had more than the one guy. OWA is perfectly fine for our "regular" sales people who work for a company that is actually profitable. ;)

I am starting to think some sort of VPN tunnel thru our firewall using a software based client to allow him to use regular Outlook may be the best route if I can make sure it is secure enough.

Actually if he is using Outlook 2000 or > he can set it up with OFFLINE
folder settings. Go into Outlook/TOOLS/e-mail accounts and select
CHANGE. In the Exchange settings where you define the Exchange server
and mailbox name to use there is a "MORE SETTINGS" button. This opens
the Exchange Server Settings window. There is an ADVANCE tab under which
you will see an OFFLINE FOLDER SETTINGS button. Click this to set up a
local copy of his mailbox. The first time he logs into his mailbox it
will create a local copy of his exchange mailbox. The first connection
can take a while and would preferably be done on the LAN if possible.
Once this is created, every time he logs in the offline file
synchronizes itself with his Exchange mailbox. Other than seeing the
sync progress it is virtually indistinguishable whether he is online or
off and it is all automatic. I use it with a dozen remote sales people
and it works flawlessly.

web mailbox, (There are countless free and pay mailbox sites out there)
He should get ALL of his email at the web mailbox. What ever form of
Outlook he is using can them be configured to pick up his mail at that
box either lap top or office box. If he is out on the road and he picks
up with his laptop, when he returns to his office you can train him to
EXPORT his messages from the laptop and then IMPORT them into his
Outlook at his office. When he goes out on the road he can export his
email to his lap top.

knowledgable people on this board.....

One of my users, a salesperson who travels a lot with laptop, would like
to be able to dial his ISP, access his email via Outlook Web Access, and
save the message locally for later review and response then log back in
and transfer the replies for sending.

Only thing I could think of was if there is a way to work with Outlook
Express. I thought there was some facility in
Exchange-2003/Outlook-2003 for this but we are a ways from getting to
that version (now at 2000).

Short of VPN connection or setting up something like a dial-in POP3
server within Exchange (behind out firewall) is there some way to get
his messages quickly and deal with them off-line? If not it won't break
my heart, but I told him I would ask.

This is one of the reasons I installed a "Net-Inter-Net" server at my
last company. I removed Exchange from being our live internet mail
server to an internal roll. The configuration was this...

NIN is live on the internet and mail is delivered directly to it. From
there all clients are set up with an exchange server (the internal one I
spoke of) and a POP account (to collect from the NIN. As the client
collects it delivers to the inbox on the exchange server (or a PST if I
so choose). I set the President up while installing Outlook as "travels
with computer", creating an offline set of exchange folders. When he
traveled, he would dial the ISP (or connect through some other means)
and collect his mail POP from our NIN. It is delivered to his offline
exchange mailbox. He can read, reply and all. When he is ready to
send, he connects to the internet again and it sends to the NIN via SMTP
and is delivered from there. When he returns to the office, he connects
to the network and his offline exchange folders sync up. It worked like
a charm and was Exchange 5.0 with Outlook 2K.

This would be a major change for your setup, but I set mine up while
making the move from Dial-Up for the office to a T-1. It was not very
expensive, and when I patched the NIN no one really knew because it was
only down for a minute or so, and their mail would just try to collect
it's POP mail at it's next schedule. The exchange server was also not
visible to the internet, meaning patches were less critical and could be
implemented on my schedule.

If you are doing this for only one, it may not make much sense, but if
several need it, it could have great value. I also really liked the
included Webmail interface.
