Playing with MS Access

I may be jumping in on this thread a bit late Ben, but I have delt alot
with ODBC connections and data extraction for our employees. We
currently use several methods of exposing Vantage data. We run Crystal
reports overnight, which export massive amounts of data which are then
linked via Access MDBs to generate final XLS spreadsheet reports.

We also have a live ODBC (read-only) connection which links a website up
to Vantage and displays basic job information (work order data). Since
most basic Queries to the vantage database involving a single job are
almost instantaneous, this connection works out great for us. Also,
since a connection to a webpage exists only briefly, you tend not to bog
down the DB server.

You can set up a read-only ODBC user for this. What version of Vantage are you
running?

Access is a great tool for getting the data and using forms really
simplifies things for the user so good job getting into it! Here's what
I would do to get started:

1) Start with making the ODBC driver Read Uncommitted. This makes the
system report an error if you try and modify the data.
2) Change the ODBC Fetch Array Size to 2000. This will elminate some
errors when accessing large records from Vantage.
3) Link to your Vantage tables and make sure you store the password.
Users don't want to be bothered with this.
4) Add another layer of read-only security by using Tools | Security |
User and Group Permissions to mark all the tables as Read Only. This
will prevent users from even trying to edit data in tables.
5) To add even another layer, when you create your form, set the
properties on the data tab of the form to not allow additions, edits,
and deletions.
6) Use the switchboard (under database uitilities) to create a menu for
the users so they can easily launch the forms you create.
7) Hide the database (Tools | Startup) so the users can only access the
forms you create.

Whenever you set up an odbc connection to Vantage, you can choose in the
advance tab from READ COMMITED (you can make changes in the database) or
READ UNCOMITTED (read-only). By the way, this works on 9.1D and below.
No idea about 8.0.

Ben,
Do you have Progress provision? If so, you can write a script that will
prompt
For variables such as company, part number, and it will return onhand
quantities and open jobs.

You can setup your ODBC connection as "Read -Uncommitted". Because I
have some self proclaimed Access Experts, I went a step further and
created a user in progress called "Access" and granted 'select on' the
tables that I wanted them to have access to, this ensures that any
changes made to the ODBC client permissions will have no affect on the
DB user permissions.

We just went through this at our company.



You probably don't want to open up the keys to the kingdom (payroll &
accounting or other sensitive info) so you'll want to setup a new
Progress "user" and set permissions on specific tables. Then setup the
ODBC client for this "user". There is excellent documentation available
from Epicor on how to setup ODBC.



Once the ODBC is setup you can link to the Progress tables in Access.
Then setup query to run based on the spreadsheet value (although I
prefer using an Access Forms).

My experience is that you can set up a macro to link (ODBC-read only if
preferred), extract (query-create table), and report in whatever format
supported by Access (plenty). The macro has passwords, etc. and you can
"hide" the macro from the user. The only thing that the user has to do
is click on a button to run the macro - no passwords, etc. to do and the
user gets the results with live data and no mess. The only set up is
ODBC and Access 2000 or higher. You can email me directly if you do not
know how to set up a macro with 6.1 or lower.

I use MS Access to connect to the Vantage database using link tables. Every time I open the application it ask me to enter the password to access vantage. Is there a way so that I can set the password and it won't prompt for it again? I've tried using a File DSN but it does the same thing.

Any ideas?

You probably don't want to open up the keys to the kingdom (payroll &
accounting or other sensitive info) so you'll want to setup a new
Progress "user" and set permissions on specific tables. Then setup the
ODBC client for this "user". There is excellent documentation available
from Epicor on how to setup ODBC.



Once the ODBC is setup you can link to the Progress tables in Access.
Then setup query to run based on the spreadsheet value (although I
prefer using an Access Forms).



Something like this:



"SELECT fields FROM tables WHERE key_value = " & spreadsheet value & ";"

Call me uneducated, but I need a little head start on using Access.



My thought was to create a spreadsheet for my sales dept where they can
enter a field and see data based on that field.



IE They can enter a part number and see how much we have in stock, and
what is on order... or something to that effect.



My question is, can I do this without the ability to change the data?
The last thing I want to do is edit the database on accident.



If so, can someone give me a little boost as to how I would set this up?
IE connecting to the database, making sure I am in read-only etc. I
just need the basics, and I can take it all from there.

When you link the ODBC table with the link manager you need to check the
save password box in the bottom right hand corner.



It will then connect with prompting for the password

Every time I open the application it ask me to enter the password to

My experience is that you can set up a macro to link (ODBC-read only if
preferred), extract (query-create table), and report in whatever format
supported by Access (plenty). The macro has passwords, etc. and you can
"hide" the macro from the user. The only thing that the user has to do
is click on a button to run the macro - no passwords, etc. to do and the
user gets the results with live data and no mess. The only set up is
ODBC and Access 2000 or higher. You can email me directly if you do not
know how to set up a macro with 6.1 or lower.

Is it the ODBC connection that is prompting you? If so, when you link
your tables, you just have to check off the 'save password' box and it
won't prompt you for the password anymore.

Hi All,
It appears that a lot of people are using MS Access to link to Vantage
tables.
I am assuming this is for reporting.
Is there an issue of database size and speed with MS Access?
Can you link to Vantage from the MS Access MSDE data engine?
Are there any other options for linking to Vantage for reporting?

My experience is that you can set up a macro to link (ODBC-read only if
preferred), extract (query-create table), and report in whatever format
supported by Access (plenty). The macro has passwords, etc. and you can
"hide" the macro from the user. The only thing that the user has to do
is click on a button to run the macro - no passwords, etc. to do and the
user gets the results with live data and no mess. The only set up is
ODBC and Access 2000 or higher. You can email me directly if you do not
know how to set up a macro with 6.1 or lower.

We just went through this at our company.



You probably don't want to open up the keys to the kingdom (payroll &
accounting or other sensitive info) so you'll want to setup a new
Progress "user" and set permissions on specific tables. Then setup the
ODBC client for this "user". There is excellent documentation available
from Epicor on how to setup ODBC.



Once the ODBC is setup you can link to the Progress tables in Access.
Then setup query to run based on the spreadsheet value (although I
prefer using an Access Forms).



Something like this:



"SELECT fields FROM tables WHERE key_value = " & spreadsheet value & ";"

Call me uneducated, but I need a little head start on using Access.



My thought was to create a spreadsheet for my sales dept where they can
enter a field and see data based on that field.



IE They can enter a part number and see how much we have in stock, and
what is on order... or something to that effect.



My question is, can I do this without the ability to change the data?
The last thing I want to do is edit the database on accident.



If so, can someone give me a little boost as to how I would set this up?
IE connecting to the database, making sure I am in read-only etc. I
just need the basics, and I can take it all from there.

Hi,

In terms of other reporting packages, there is corvu. It is a great
reporting tool at a minimum. Epicor have bundled a suite of canned
reports etc. Has direct access to the progress database rather than
going through ODBC. Great for management and extracting data out of
vantage. I am afraid I don't know the costs.
