Requisitioning Inventoried Supplies

Requisition to Jobs? Why?

We set 'minimum-qty' then Vantage 'suggests' the purchase of inventory supplies.
Once they are received they are expensed.

We have been known to enter a part ' minimum qty' , and immediately run suggestions.
Seems to work here.

We are setting up all our supplies in Vantage inventory and have hired a supplies crib supervisor to manage it. These are things like taps and drill bits or bolts and clamps. All the stuff we do not issue to a job but use for things like tool making or press setup. We would like to track usage better and document annual amounts in order to negotiate better prices.

But when the supplies guy goes to requisition a part that is not charged to a job Vantage does not allow looking up the part code and if he enters it manually it gives an error saying he can not requesition inventoried items. Arrrrgh! This is exactly what we want to do. Anyone know the reason this is not allowed? Is there a way around it? How is the supplies guy supposed to tell purchasing to buy more items?

Thanks,

We are struggling with the same issue. One concern was the value of the
parts showing up on the stock status report. The suggestion I received from
group and epicor was to set them up in non-nettable bins. How did you set
up the parts? My other question is the same as yours. How do you relieve
out of stock w/out a job? Is Adj-qty the only way?

Another question. When you put the parts to stock, were they expensed at
that time? Most of the parts we want to track will be expensed in the
period purchased but some are big $ and will be capitalized.

This something my GM is hot to get started.

One idea...

For commonly used shop supplies set up min/max quantities. These parts will then show up on Time Phase (if you purchase old school style) or on Purchasing Suggestions when they drop below certain levels.

To issue the parts, you can do a "miscellaneous issue" from stores. This will debit your inventory adjustment account which I assume you have going to cost of goods sold so would be realized as a period expense.

We have the same issue. We want to be able to requisition items that are in
the part master but will not be costed to a job. Our consultant suggested
creating one dummy job and requisitioning everything to it. No on has been
able to answer my question "Why can't we requisition an item that is listed
in the part master file without costing it to a job." I don't think there
is a good answer. Seems like another Vantage "weirdness" issue.

Now this sounds interesting...requisitioning to a dummy job that is. Not the way it should have to work but as a workaround it might have potential. I am now wondering if we could set up several dummy jobs to do some sort of tracking scheme. Like tool room supplies versus maintenance dept. supplies. I suppose we would have to receive items to the dummy jobs as well.

Although we have implemented the "dummy" job workaround, I don't like it.
We have costs that should be expensed going into WIP, jobs that stay open
forever, parts are too easily entered as material requirements on a job
without entering them into the part master(where as we could track history
and set up vendor price breaks etc.), every time I create a report relating
to jobs I have to filter out the "dummy" jobs(which have spun out of
control), the "dummy" jobs are being used to hide materials that should be
handled on "real" jobs, etc. etc.

For our shop supplies, toolcrib items, paint supplies, etc. I would prefer
to set the items up in the part master in a "non-stock" warehouse with a
non-nettable bin and use the requisition process. I just do not understand
why Epicor is so reluctant to allow items from the part master to be used in
the requisition process. It seems more logical than allowing job materials
to be used in the requisition process. Also, in requisitioning items to a
job, the process does not allow the material to be directed to a particular
assembly. I would also request that the requisition process be associated
with a global alert that would notify the dispatcher that he/she needs to
take action on a requisition.

Sorry for rambling on, just my 2 cents.

Hi.
I agree with you completely.

When purchase requisitions were first introduced I was thrilled. However
they only seem to pertain to job material, and if this is still true(we're
still on 5.0), it is not a very useful feature of the system. If anyone
does figure out how to use it for supplies to keep the shop running, and
covers the concerns that Tom and Todd have already recognized, it would be
an awesome feature. I think it's a case of programmers who have little real
world experience. How's that for throwing down a gauntlet? Careful, I
could really get my soapbox out about this...

Does anybody really make use of this feature? Do you feel you get your
money's worth from it? I'd like to hear success stories, and I'd still like
to see Epicore improve it. I don't think I'm the only one who'd prefer to
see them enhance the current features, and improve the function to it's
rightful potential, than to concentrate their time on the new stuff to sell
us. I believe the last 3 web casts that were announced had to do mostly
with new modules you have to buy, in order to appreciate.

Whoops, that old soap box did get out, didn't it.
Have a great Friday afternoon.

Thanks,

Tom Ford

I'm sure they'll get to it....it will be called Advanced Requisitions, a
'new' module!

I think this is going to be one of the more serious issues I pursue at Perspectives. Nothing like catching Mark Pladson (or whomever) for a little one-on-one show & tell in the Hall of Solutions. One of the bigger cost justifications for attending.

Rhonda, you are right on target. I feel your pain. I too am thrilled to
hear about new features and too often disappointed when we attempt to use
them and find them underdeveloped and ineffective. I am not sure that it is
due to developers that have too little real world experience or if the
developers are not being given adequate time and resources to do what they
are capable of. A great discussion for the upcoming Perspectives
conference.

Purchase Requisition Module. What is that? I never heard of it. I went
down asked my purchasing manager about and his response was the same as
mine. We did a little investigating and found it and proceeded to lock up
his machine. He was not happy. I have come to the realization that once
again someone decided not to inform us of all the bells and whistles.

If someone could explain briefly what it is and is it useful.

I am happy that I am not alone in trying to accomplish this. My work around
to relieving stock was to adjust it out. But that won't work, since I
access to that restricted to associates in my area and we need floor people
to work the tool crib. I hope we can figure out how to do this.
