Trying to revamp our RMA processing. We do not use serialized parts and are not using case management. Wondering what the proper disposition path is when we setup a job to repair a returned item. Sometimes the part gets returned to stock after repair and sometimes it goes back to the customer on a new sales order.
I’ve been poking around through forums and videos on RMA processing and from what I’m gathering it looks like using serialized parts and/or case management comes up a lot. Are those truly prerequisites for any of this to work properly?
What I want to do is receive RMA, disposition to a job, receive job into stock once complete, ship on new sales order or place into warehouse/bin. I’d like the job to be linked to the RMA (through disposition) and to the new sales order (via make direct). Can we do this without serialized parts or case management?
Also wondering about how the job should be setup.
i.e. what should the part # be? Does it need a special BOM/MOM?
Lastly (for now) I’m curious about what happens to the part when it gets dispositioned to a job. Does the disposition itself create a transaction that decrements the inventory from the RMA receipt? or does it force the linked job to have the part as a requirement on the BOM?
Sorry, this is a little all over the place. Any helpful topics/discussions/videos that will help clarify these details would be greatly appreciated!
There should be a few different discussions about handling rework and RMAs, but I’ll need to look for them.
I think serial numbers come up related to RMAs a lot because when a part is serialized, Epicor stops you from “cheating” or taking shortcuts that you normally can take when working with non-serialized parts. You have to get things just right with serial numbers or else the statuses do not update properly.
Overall, our process when reworking returned parts is:
Enter an RMA for the parts from the customer.
Enter an RMA Receipt for the parts once they come in to our warehouse.
Enter an RMA Disposition (from Inspection Processing or RMA Dispositions) of “Fail” to send the parts to a DMR. This merges RMA parts with interal DMRs for our process. I think you can disposition directly to a job instead of a DMR if you don’t want to have the extra step.
Create a new sales order or order line for replacements (if necessary). Use the “Make Direct” flag on the release if shipping directly from the rework job.
Create the rework job:
a. Create a new job in Job Entry. The job part # should be the same part as you’re reworking.
b. Add a job material for the same part number that you’re reworking (so the job is for Part A and it has a material requirement of Part A. This is allowed on jobs.)
c. Add operation(s) for the rework. This can be as simple or as complex as you need it to be.
d. Add a demand link to stock or to the replacement order.
In the DMR, add an “Accept - Job Material” action to accept the part to the rework job you created.
Rework the parts on the job and receive them to stock (or ship them out).
When you enter the dispositions in RMA Disposition Entry, Epicor creates the transactions for you to link everything together.
