Hello All,
We are beginning to test cycle counts in Epicor. Currently this is being done outside the system and parts are counted by sections of the warehouse. The area is off limits and signs are displayed indicating cycle counts are in process.
In Epicor, there is no where to indicate where the parts should be selected from. I understand the system selects the parts based on the last cycle date, but is there a way to control what area(s) of the warehouse are being counted?
Yes, this is a common request. In standard Epicor, it is not designed to select by area or certain bins. That would be cool. Epicor selects by warehouse and part, so I assume that you won’t have the same part in different areas? Because, it will want to count the part in all bins within a warehouse.
However, all is not lost. Epicor allows you to alter the parts selected in a cycle count using this command:
In a previous life, the cycle count program was, “count all the parts that had activity since the last cycle count, then add in some inactive parts to ensure all parts are counted within their class requirement”. It usually ended up being around 80-120 parts a day. With three warehouse workers, it was done in about twenty minutes. (They used tablets with a custom web page but that’s another story…) They passed quarterly audits from the outside finance auditors and haven’t run a full physical since launching Epicor in 2015.
The process was to run two BAQs: one for active and one for inactive parts. They would paste into the Selection Maintenance screen above all of the active parts and then grab a few from the inactive parts that were due to be counted. You could do something similar by area.
You will be manually managing this so please certain that you count enough parts each cycle to fulfill the set requirements for the various classes.
Hi Mark,
Thank you for the quick response! This information is very helpful. I like the idea of leveraging the cycle count part selection update. I will run that by the team and get their thoughts. We have a meeting tomorrow and I’m certain there will be more questions.
Hi Bryan,
Great to know you’ve used the same process. I will 100% say I am not daring enough to use PCIDs right now but thank you for the suggestion!
Expanding on @Mark_Wonsil’s solution, I created a dashboard to find parts by bin location, then used to paste update in the cycle count part selection.
When you do this, you will still get a tag for any other bin location in that warehouse for the parts you add to the count group.
additional note: The thing you are pointing out is one reason why I suggest having more warehouses in your site… I have seen some companies where they have 5, 10, even 20 different warehouses to break up their site. Each “warehouse” is an area in their building that was distinct from other areas. Each area had different types of inventory, but some inventory could be scattered across multiple warehouses.
By breaking up their site into multiple warehouses, they could cycle count, and do physical inventory by warehouse without affecting the other warehouses in the site.
Good Morning Tim,
Good suggestion. Prior to me coming on board the company did have many more warehouses but the same parts existed in multiple warehouses which then made it difficult to use cycle counts in Epicor. They recently completed an effort to reduce the number of warehouses but perhaps rolled out a different way, it could be effective.
