Engineering Workbench

For those of you who have either upgraded to 5.2, or who have done some
testing...

What has your feedback been from Engineering on the new Engineering
Workbench? Good / Bad?

Does it benefit you overall? Have you had to do much training to implement
the new change?

I'm looking for information to help us evaluate what we need to do in order
to upgrade to 5.2.

We are experiencing severe difficulty with Engineering Workbench. It is
adding a significant amount of time to anything involving changes to parts
for future jobs. We depend very heavily on adding comments to part
operations which are printed on Travelers to alert production people about
various things. Every time a job is closed then comments written on the
traveler are inspected to add new comments to the part/operations for the
next time a job is created for the part. These comments, plus regular
engineering changes (new opers, different work center, etc...) mean a lot of
methods maintenance is being done. We have no need at all for the structure
and approval process mandated by the Engineering Workbench
check-out/check-in procedure and it is adding a lot of time. Time that to
us is pure waste.

We see no benefit and training has been a real struggle. Partly because the
help screens are so vague about the process flow and in particular WHY?
various functions need to be done. With a change this major I think there
should have been some sort of white paper or advance details for what this
is all about. We ran into this sort of blind. Perhaps there are easier
ways to deal with it but we've found none so far. It will be a major goal
of mine at Perspectives to figure out how to deal with engineering
workbench.

Plus, a siginificant amount of the time the check-in process does not work
and the user ends up frozen. Totally stuck within Vantage. Only option is
to End Task on Progress and re-boot which means I end up in the computer
room on ProMon taking the phantom session out. Not enough "evidence" yet to
go to Epicor Support with but it's getting close. Usually the user starts
getting messages about insufficient system resources. But even without
these problem Engineering Workbench all by itself is a time waster.

All in all I wish (maybe - hoping - please!) that there is a way to turn it
off and maintain parts/methods as before.

Todd,
Thanks for the candid information. It's just the kind of 'real-life' experiences we are looking to hear from. I know this is a new product, but surely there are others who are taking a look at it too. The last two upgrades have been relatively painless from a training standpoint. This one looks to have enough new things in it that we ought to prepare the users a bit more than previously.
As our engineers check out the workbench, I'll try to send feedback through the list.

We tried it out for a month on a test server but the lesson we learned the
hard way was that we should have had longer and more broad exposure to it.
Our process engineers are OK with it since they do a lot to a part while it
is checked out. But the sales engineers and the production managers who hop
into lots of parts to make one small change to each (a comment on oper
usually) are spending too much time checking parts in and out. The
procedure overhead is far too high for the amount of useful work being done.
If we had forced the sales people to try the process before hand instead of
relying on just the opinion of the process engineers we might have found
this out. On the other hand would we really have not gone to 5.20 just
because of this? I don't know if this would have been a show stopper but it
surely is an irritation. Enough so that the CEO is all over me to "fix it".

We set up a group for each person. My understanding is this is not exactly the way it was intended to be used and that if a group is setup on something like a part/project basis it makes tracking changes over time (an audit trail sort of) a lot easier. part of why this was set up this way inthe first place. Our ECO and rev. tracking requirements are not so stringent as some industries so this added no benefit for us but some companies absolutely required it. It was a bit of a learning curve struggle (along with some bugs) when we went to 5.2 but everyone is used to checking parts out and back in now.

There is a good document explaining the whole process that I think is available from one of the Epicor consultants. Check with your CAM about it.

Paul,

According to our Document Supervisor, it now takes longer to enter
Bills of Materials.

Ask yourself if increased traceability is worth productivity loss.
What problems have risen due to the lack of groups in your
organization? What value will ECO groups add to the process?

Here's how we used to do it (vantage 3.0)

Data Entry Clerk A would edit the BOM, and print out a BOM listing.
Data entry clerk would take the BOM in hand, check it, and upon
finding no errors would go into vantage and approve the revision.
Done.

Right now, we only go with a single group called Document Control,
since individual traceability is taken care of in the new change logs.
However, even with only one group, there are caveats.

Here's the new procedure:

Data entry clerk A checks out the part, makes the edit, then they
print out the BOM. What's going on, the changes aren't being
reflected? They have to check in the part in order for the changes to
be reflected on the BOM. But wait, it won't let them check in the
part until they approve it in the system. So they approve the part
(which goes against our procedures since a printout has not been
signed), check it in, and hopefully they remember to un-approve the
revision - since they weren't really authorized to approve that
revision in the first place. Finally, they print out the BOM and hand
it over to their peer who double checks and approves.

Can anyone tell me how the new interface has saved them time, or cite
how having ECO groups has increased overall productivity?
Traceability is nice, so long as it adds value to the process. In
our case, ECO groups add mouse clicks, not value.

Every company is different. Your users may love the new interface.
However, I would include them in the decision to upgrade past 5.1.
Had we invested just a little more time in end-user evaluation of
5.2, that time would have already paid for itself in eliminated
headaches (since we would have stayed on 5.1 and would not be having
to deal with the bloatad interfaces which we were trying to avoid in
the first place when we purchased vantage).

If anyone wishes to join in an enhancement request that would allow
for a "classic" style interfaces in certain areas of vantage (B.O.M,
Job Entry, Part Tracker...), please contact me offline at
tjacobs@.... We at Kinematic would like to see Epicor stop
moving in the direction of forcing major functionality changes on
every vantage deployment that wants to stay current for support
reasons.

Consider AutoCAD 2000 versus AutoCAD 12. Yes, you do have to change
some preferences to make the 2000 version behave like r12, but it is
possible. Consider windows XP, which supports a "classic" mode that
behaves like windows 2000.

We are basically going to use it that way too. We are patching all the way
up to 5.20.320. What patch level did you have buggs with?

Everything in 5.20 up to patch 313 where it became stable. Mainly problems were in deleting operations and they would magically reappear at the end of the sequence (10-60, delete 40 and we'd have 10-30, 50-70 where 70 was the deleted 40) or program would freeze if operations were resequences afer a delete oper and it tried to re-use the oper seq. But now it seems OK in 313.

We set up a group for each person. My understanding is this is not exactly
the way it was intended to be used and that if a group is setup on something
like a part/project basis it makes tracking changes over time (an audit
trail sort of) a lot easier. part of why this was set up this way inthe
first place. Our ECO and rev. tracking requirements are not so stringent as
some industries so this added no benefit for us but some companies
absolutely required it. It was a bit of a learning curve struggle (along
with some bugs) when we went to 5.2 but everyone is used to checking parts
out and back in now.

There is a good document explaining the whole process that I think is
available from one of the Epicor consultants. Check with your CAM about it.

We are planning on upgrading from version 5.0 to 5.2 this weekend. I just
ran across the "engineering workbench". We have about 6 people who update
the BOM on a daily basis. They also add the BOM for new parts. I was
wondering how others are using the groups in the workbench. I'm thinking
about adding a group for the three different areas that make changes,
Engineering, production and production in our laser department. I'm
assuming we can check out parts to the different groups then make the
changes in the workbench and then check them in after approving the
revision.

Any input would be appreciated.

We just went live with Vantage 5.20.320 on Monday. I just noticed today
that in Quote tracker when you look at "people" and then "salespersons" it
does not show you their "role". In quote entry you can see this
information. Sometimes we have one person quote a job and another person
who is actually the sales person. This infomation is showed with the
correct role in quote entry. Anyone have any ideas?

We are on Vantage 5.2 with patch 320 loaded and I'm seeing a record lock
problem in AR invoice. When you open a group and "get details" from
shipping. If they are entering a new packing slip or maybe someone is
looking at one that is marked "ready to ship" I'm getting a 2624 record lock
error. I talked to Vantage support and they say it was fixed in patch 309.
Does anyone have any information about this? I also have a slowdown when
searching for a packing slip that is pending. Vantage support says that was
fixed in patch 319, but we are seeing the problem. ??? Could the patch I
downloaded from Epicor's web site for level 320 been a bad patch? Any
information would be helpful.

Here is how we use it.

I created ECO Groups - a group for each user who needs to edit part routings
or BOMs.
Group ID = Smith, Jon
Group Description = Engineering Department

When editing parts use EWB, select your group, check them out, do your
changes, then approve the revision and check them in. We use the feature to
automatically unapproved the rev on checkout.

Also if you look at the part in PART TRACKER/BOM Tab while its checked,
others can see who is working on it.
You need to scroll the BOM TAB Browse over to see the ECO GROUP ID field.

Hint: If looking thru a list of parts and need to review them to see if a
change is need, Use EWB, look up the part on the PART TAB, highlight the
part in the browse list, right click go to PART TRACKER, select the BOM Tab
to look at it. If it needs changes just escape back thru the screens to EWB
and check the part out otherwise lookup the next part.

To the Group: Doesn't it seem strange the ECO group has no security on it?
Anyone who can get into EWB can create groups? Am I missing something here?

I don't want it to auto assign the next rev. (Mine are A, B, Marked Print,
C, Marked Print, NONE, etc...)
I'm on version 5.2 and don't have task sets yet. Sorry.

I would agree the overall Idea of EWB is good but the logic is goofy in
spots.

Undo Checkout doesn't reapprove the revision. Forces you to approve and log
a change note. Dah!

With the New Style interfacess for Jobs, Quotes and Parts both in Entry and
trackers gives us SIX of these EWB tree structure style screens. And they
all act differently.

Example: Some let you drill down on the OPERAIONS browse some don't.

You will get faked out on Jobs that are closed the drill downs just quit
working, no message the job is closed you have to fingure it out for your
self. (My users aren't that smart.)

That seems to be about how I had guessed so far.

I am a little surprised that it doesn't seem to auto assign the next
revision in the EWB. Also, it doesn't even seem to display the current
revision so you don't know what the next revision should be. I end up
keeping the Part File Maintenance window open to check revs & eco numbers.

Same thing with ECO numbers, seems like they are assigned manually?

Also, what if a guy has his group, and he's working on two or more ECO's at
once? I haven't found a way to grab multiple parts by ECO number and approve
and check just them in. Seems like you end up doing each part, one at a
time. Kind of clumsy if you have a few ECO's going at once with several part
numbers checked out for each.

And have you noticed this? You must add a rev to a part in order to check it
out. You can then add materials to this part and it doesn't matter if the
parts you add have revs.

I've been pitching the workbench to a couple of our engineers. So far it's a
hard sell.

BTW, are you using Task Sets?
If so, would you mind sharing?

Sounds like it is still checked out, select the group that had it
originally, then press the "PART/REV:" binoculars/lookup up button to see if
its listed. Select it, approved the rev, then check it in.

users or mproshut and see if the user still has a session (usually more than
one) open cancel the session for the user and then when they login and check
out the part.

I spoke with tech support and you have to do a few things. First make sure that your users are setup in the menu security to check in.

Next, go to the Engineering workbench and Click the group button. You should get a list of groups. Highlight one group and click on the Update button. On the bottom left corner you should see the 'Check in' and 'Check out' options. They will be grayed out. If the 'Check in' is NOT checked then you must make a change on this group and save it. Change the description and Click 'OK'. Click 'OK' to get out of the group list. Now go back into it and you should now see that it's checked.

They say this only happens when you have parts checked out before you do your upgrade.

We just upgraded from v5.2 to 6.1. For some reason, we cannot check in any
parts we checked out in Engineering workbench. We are able to approve it
but we can not Check it in. Any ideas?
