I would like to automatically generate any PO needed for subcontract operatons WHEN the job is released - I was thinking maybe a BPM of some sort but have not used BPMs yet much.
We want to wait until then as many changes are made to jobs dates and quantities up until job release time - and sometimes jobs are released ahead of scheduled dates (so need PO prior to PO Suggest Order By date)
Any suggestions?
I was thinking along the lines of when PO Suggestions runs - for SUBCONTRACT suggestions only -check the job to see if it is released - if so - mark BUY and Generate PO.
Are these suggestions held in a table that I can just run a BAQ against instead?
We do - but OFTEN we start shipping to subcontract long before ORDER BY date - due to large running jobs, running early, etc. We do NOT want to hold up just because a PO isn’t ready. We don’t want to create to early - as there are many changes to job by moving dates. quantities at last minute. PO does not update (date needed or qty) as job is updated. Also can’t delete a job if PO is already created. Shipping starts day at around 4:00am - purchaser for subcontract not until 8:00 am and if that person is out - well….
If I can’t take PO suggestions - and for any jobs that are ‘RELEASED’ - go ahead and issue PO - then I will likely just create some sort of alert for when a job is released (so person can then go and check if PO is needed and issue at that time).
It’s far from perfect - we also often over run a job and PO qty does not get updated - so all the subcontract status report quantities reflect what was scheduled instead of what was shipped to subcontract. Most of our jobs are regularly repeated so we process and keep excess for next orders. Some jobs are ready in a few hours some take several weeks.
