Our company just got approved for membership to this group after
purchasing Vantage last month. We hope to "go live" by 1/1/4 - we
know this is agressive and know we will probably go live late - but
I was wondering if there was any advice you could give us,
any "gotchas" to look out for, etc. We purchased the 'basic' modules
including MRP but no HR/Payroll.

We've been looking forward to joining this group as no other ERP
solution out there seemed to have the support group that Vantage
does - if they did, there seemed to be only 10-12 messages being
posted per month.

We hope that we can also give something back to this group and not
just be takers.

well for those quick on the fly inquiries as to what is in your data
base, make sure those populating fields are diligent and check their
work. Above all ..SMITE THE UNBELIEVERS.... it only takes one
unbeliever to make the whole thing crumble. If everyone is on board you

Train, train and train again. Especially sales people! You might should
rethink your "go live" date. It took us 3 months of testing before we were
ready to start training and 1 month to get the procedures ready for "go
live". We put together a procedure manual that detailed how to enter jobs,
post material, PO entry, etc., etc. Came in handy that first year.

Welcome. You can contribute right away since I assume you will be going live with 6.10. You will be ahead of us chickens waiting to upgrade. ;)

3 months is a really aggressive schedule. Work close with your implementation consultant (assuming you have one) as they have lots of good tips about setting up code structures for various tables which make things run smoother. Also, on such a short schedule the less you import from prior system(s) the easier things will be. Starting fresh has some advantages but most people end up importing Part BOMs at the least. And for sure get LOTS of unconditional support from management at the highest level.

Your schedule is aggressive, but I'm here to tell you that it can be done
and can go smoothly. Back in '99 we installed vantage in August and went
live with 2 companies on November 1 (without a controller nonetheless - he
quit one week into the project!).

Off the top of my head - my advice is:

-Assign a dedicated implementation leader who has some previous ERP/database
background (it's full-time++ job for the implementation and for those first
3-6 months live)
-Assign a implementation team comprised of a representative from each
department to make decisions, push the system, train their people, etc.
-Get feedback from the department representatives regarding decisions that
will affect them (whenever feasible)
-Have your implementation leader attend many of the epicor training classes,
work with the epicor implementation manager / epicor support and spend A LOT
of time becoming a master of vantage.
-The implementation leader should write procedures for every aspect of
vantage and train the users. (I found making screen shots with arrows of
what information goes where as part of my procedure worked great).
-Learn report builder and duplicate reports your company needs that are not
standard vantage and add them to your menus.
-Learn crystal reports and modify Vantage forms to fit your needs
-Develop a thorough database back-up and recovery plan.
-Use Vantage tech support and this users forum to work out procedural issues
ahead of time.

I'm sure more advice will come to me, but those are the starters.

Welcome!

Make sure your implementation group knows the system inside and out.
Then start putting your own data in..... and run tests, tests, tests. Did I say test?
Next develop your procedures.
I can't tell you how important it is to have procedures for all your people.
The keyword is procedures, procedures, procedures!

Last thing......
Do not schedule any vacation for yourself or your implementation team for the next 5 months.

'cause when you are done your gonna need one ;)

I just want to say that my company is on the same path as Sue.
I'm accessing this group for the first time today and I'm glad we had
a handful of members to support each other. Our company bought
Vantage 6.0 about 4 months ago and we are going live with just one
plant in Mexico on January 1st. So far we have been keeping on track
loading master files and creating procedures but, I think after
Mexico goes live we need to start all over again with our US plants
(4 plants).
Currently, we are using DataFlo and decided to make the move to
vantage. We seem to like it much better except for we need to get
used to the way Vantage does things. Some of our big
milestones/blockers have been kanban receipts (I think new in 6.0)
since we don't generate jobs, we backflush everything.

Also, we will need to develop quite of few reports that we had in
DataFlo but that won't be until next year. Our implementation
consultant has helped us a long way.

I'm looking forward to meet some of you people out there that are
probably going through the same route as meÂ…..(like Sue).

We also send the welcome. You're right - this user group is great. Which
version will you be implementing? make sure you use data collection. It's
great. One of our mistakes was that we went live in sections. I forget the
order we chose, but we should have made sure purchasing and accounting went
live at the same time. We got some temp help to enter basic master records
like part master and production methods. Errors were made, because we were
new with Vantage and they were new with us, so the instructions should have
been different. That was more of a hick-up than anything. You really want
the production methods to be right. It holds up work to have to get it
changed, and screws up work if you don't correct it. I would agree with
Rich, test a lot and get good procedures written. Vantage can forgive
some things, but not all. There's a point of no return in many areas.

Feel free to ask questions. There's a wealth of knowledge in the group
membership. Be sure to include the version you're running.

Another suggestion for all the new sites. If not already planned make it a part of your implementation budget to have at least one person attend Perspectives. Not too late to register and since Caesars has no more rooms anyway you have your pick of cheaper places nearby. Perspectives has a ton of stuff that is great for new sites, especially the Hall of Solutions and lunch time grilling table mates from experienced sites. The value received by attending is tremendous. Besides....we need more orange tables. ;)
