Vantage with ADP

Sorry it took so long to get back with you. Here's more detail on how we hope to handle sick time, etc.

1. We set up Indirect codes for each of the following: V=Vacation, S=Sick/Personal Day, B=Bereavement/Jury Duty and H=Holiday.

2. For each person and each day they are absent, we enter a labor record header for that day and then enter a detail record on the same day, using the Indirect code.

3. Run the "Payroll Time Report -- Mod2". This shows a breakdown of Vantage's hours compard to our calculations (to do rounding, overtime, etc.) This is to audit the time punches and calculations.

4. After data from Mod2 has been cleaned up, Run the "Payroll Input" report. This report is raw data that is intended to be exported into ".cvs" format for our ADP software to use.

Like I said, this is in development and hasn't been implemented.

In addition to the above, the Indirect Labor gets printed on a report for our controller to enter manually into the General Ledger to reflect "Total" hours of overtime, sick time, vacation, etc.

If anyone is using Vantage with ADP and doesn't mind answering a few
questions, could you email me off-list? I could really use some feedback on
this and I would really appreciate any help anybody could offer.

I'm trying to figure out what I need to do to get ADP payroll working with
Vantage (currently we are not even capturing clock-in/clock-out time in
vantage and we outsource our payroll and use their time clocks)

Please email me too or post to email list. I am right now purchasing ADP
Interface module from custom programming. I have verfired with ADP that it
should work with latest version but have not tried it. We had to also
purchase an ADP module and monthly fee ($200 + $25/mo) on the ADP side. We
will start shop floor data collection in a couple weeks. So any help on the
ADP module would be appreciated here too!

Todd, Did you have to buy Vantage Payroll, or just the ADP module?
Just the ADP Interface module. We have not actually bought it yet but am am
waiting for a quote now. I think it is about $2,750 or 25 service credits.
As I understand it it is about 1/2 of the payroll module - that is the parts
that extract data collection payroll clocking into a file the the rest of
the payroll module uses. We received a very goo description called the
Custom ADP Template Product Description. and another document describing how
to use it. I would check these first to be sure it will do what you want
otherwise you might end up needing the full Payroll module.

We got te ADP interface to get data for our "out of house" payroll service. But it didn't give us the data we needed, especially with the 'unique' way we wanted to round hours for lunches, breaks, clock-in times, etc. So we wrote two report builder reports that take the Clock data and export it to the exact ADP format we need for the ADP company. I uploaded our report builder reports to eGroups in case anyone wanted to look at them. So we're not using the ADP interface at all.

If we can get the data to them without purchasing another module (by using
reports) that would be ideal. Thanks, also, for posting those reports, I
will surely be checking them out.

Do you need to use the Payroll Module for anything in order to use your 'out
of house' payroll service?

(You may have answered this, but I couldn't figure it out, sorry)

A word of caution. We bought the ADP interface also. What we found out
though, was the interface was not usable with 4.0, it was for previous
versions and had not been upgraded. Even though Epicor knew that we were on
4.0, they still sold it to us. We did get our service credits returned.

Wow, that is an important word of caution, since we are on 4.0, thanks!!!


Are you using ADP? Since you are not using the ADP interface, are you using
the payroll module, or can you use ADP without the payroll module?
We have not gone live yet, but a couple of months ago we received an
ADP interface that was updated for 4.0. So far in testing it
appears to work, although it doesn't allow us to round to the 1/4
like we've been doing. We've decided that we can live with that
since it is actually paying the employee more accurately than with
rounding and the only real reason we needed rounding in the past was
because figuring time cards was a manual endeavour. Check with
Epicor though, they do have a version for 4.0.

We don't have the payroll module at all. We use the RB reports to get data to the format we need to give to our 'outside' payroll company.

The PLAN (this part isn't implemented yet, but does exist in the reports I uploaded) is for someone to enter the Vacation, Sick time, etc. into vantage ahead of time (before the report is run). Right now that is still done by hand by our payroll person in the "outside" company's ADP software. Those numbers are given to our controller on paper and he adds them in to Vantage to make the necessary adjustments in the General Ledger. (I'm no accountant, so my terms may be off there on the last line.)

We created codes in Vantage for each payroll category (sick, bereavement, vacation, etc.) which match up with the appropriate codes in the RB reports to match our "outside" ADP companies codes. (Did that make any sense?)

I have a procedure .doc on this that I'll try to find for you if you'd like.
