Ver. 5 Upgrade

Has anyone upgraded from 3.0 to 5.0, jumping over 4.0? If so, how did it go
and what kind of problems did you run into.

I know all you techno-geeks (no offense) out there are anxious to hear about
the technical details of the upgrade. I guess I'm interested in
understanding the potential problems too, but I am not really confident that
I want to upgrade at all. This is based, not on the potential for technical
problems, but on the potential for business issues.

Does anyone have any input regarding the business benefits of upgrading, or
even more important maybe, the business risk of not upgrading. We are
completely canned here, with no modifications, and only a few custom
reports. Everything works right now, and I'm not too motivated to mess with
it unless there is some very compelling reason to do so.

In the Vantage downlaod area is a .txt or .doc file that descibes the actual
changes that were made in version 5. Its a nice addition to the downloads
area. Even the patches or changes they put out have these files with it, so
you can make the decision yourself. Its very possible that some of the
changes may not affect you one bit, and some may. You need to weigh out
(for your company) the possible pro's you would get with the upgrade versus
the cons of a possible hard upgrade.

One potential problem with NOT upgrading your system is that sooner or
later, Epicor is likely to stop supporting version 3 and you will be stuck
without competent help for your system. Even before they "officially" stop
supporting an old version you are likely to start running into techs that
make assumptions about the old version ("of course it works this way, that's
the way its always worked," when in actuality they changed functionality in
version 4 but the tech has been working so long in version 4 that he/she has
forgotten how it used to work). You will also find them less and less
interested in testing the older versions of the product. At some point, its
only reasonable for Epicor to stop supporting outdated versions.

It can be painful to upgrade, but it can also be catastrophic to remain
static. I doubt that your business would survive if management adopted the
same attitude towards responding to the marketplace.

I hold the point of view that it is a business detriment NOT to upgrade.
I'm speaking in overall terms. As best I can (when hardware "BREAKS") its
an oportunity to bringing current technology into your house. As far as
software, again as best I can, I bring things up to date. The business risk
in NOT upgrading is suddenly discovering that one day you will eventually be
FORCED to revamp your systems in a major way, at major cost, with major
problems in so doing. To me its better to have a planned and controlled
upgrade process, it minimizes both problems and costs.

Upgrade or not, I would recommend attending one of the training classes
offered by epicor on the new release. Use this information to do exactly
what you have stated below. The lists from the web site tend to be more
general and miss some of the little things that maybe very important for
your organization. I have done the 5.0 upgrade on a test network with no
problems. You never know, one of your users may find the ability to change
browse columns or the Order Tracker change log a huge time saver.

Thanks for the response. I fully understand the issues involved with
technical support falling behind and eventually dropping all together. This
has been our reasoning for staying current until now. But if this is the
compelling reason for upgrading now, at least I know I can wait until I'm
comfortable that the product is stable, and won't have a negative business
impact.

I also appreciate the comparison to the company "responding to the
marketplace". It's this kind of "whole picture" thinking that I was
originally getting at with my first email, not just upgrading because I have
the disk, but because there is a real reason to do so. I'm not really sure
that the comparison is fair though. Unless the software itself addresses a
new marketplace demand, there is benefit to having a stable computing
environment. Worker efficiency is substantially improved if the software
meets the needs and the users are past the learning curve. However, if
there are efficiency improvements in the software, I guess that would be
another reason to consider upgrading.

Anyway, your response, and the others I have received this morning, have at
least motivated me to begin the process of finding answers to my own
questions. I'm sure this will eventually lead to diving in to ver. 5.

We requested and paid the former head Vantage training to spend two days
with us last October consulting on Vantage scheduling. We not only got
the two day scheduling course in house but a major insight into the
changes in 4.0 but a good overview of the changes in 5.0. We were not
satisfied with going just to 4.0,but after the review of 5.0, we believe
there are major labor saving advantages and increase information in 5.0
to make it worth our while. We are also taking a suggestion that was
made by another consultant in not converting until at least one or two
patches have been generated in 5.0 to get the early bugs cleared up. We
plan to go from 3.0 to 5.0 in the summer, perhaps during our July 4th
week shutdown.
