Here is what we do. For internal things like R&D, Capital items, Marketing Shows, etc... we have set up what we call IJ (Internal Jobs) product groups. In this related example we have a product group called IJRAD. All account numbers in this product group then point to the R&D expense account (All sales, all costs, all inventory, etc...) (If you have different R&D expense accounts then you simply have different IJRAD product group codes.) We have then set up identical part number templates with all realted IJ codes. (Example: IJRAD part number with IJJOB Part Class Codes). THe part template have a standard MOM structure, no material (because that is project specific and material is added to the job directly as needed). However, we have Operations listed, and you guessed it, they are IJ operations. (Example: IJ MFG operation, IJ Engineering operation, IJ Office, etc...) We then pick and choose which IJ operations, with related IJ resource groups are costed operations. So in you specific case, as we do, we do not cost internal time and burden for R&D jobs. Rather we have no costed Resource Groups on these operations so that time can be captured hours but it won't move dollars. Here is the real nice thing about this process, if you ever choose to cost the internal time of one of these internal jobs, you simply swap out the operations, i.e. resource groups, with costed operations on the job. (Example: We normally do not capitlize internal time on capital asset items. However, under rare situations we have a significant capital item that requires significant internal build time. We will choose to capitalize this internal time. Therefore, we just swap out the IJMFG operation and replace with a regular costed manufacturing operation / resource group.) We have our cost accounting department responsible for setting up and opening all IJ jobs (we even prefix the job number as IJRAD{next number}). THis way all requests have to go through accounting that can best make the determination of what needs to occur according to accounting rules.

Now, your next thought might be, great, that sounds like an option, but I don't want to get to the end of the year and have to look through 30 - 50 different jobs to figure out how much time was spent on R&D jobs. That might be where Projects comes into play. You could set up one project each year for R&D. If you have different R&D types that you want to track, set up different WBS phases in the project. Example, one phase might be R&D Type 1, the next R&D Type 2. You can then review the summary of hours by R&D type (phase) at the end of the year and by the whole project R&D.

text file in the vntgwork folder. You can see the file if you leave the
report in preview. The temp file starts with RPT followed by numbers. For
example: rpt12345.txt.

When I tried this I got an error message that the report was created in

Here's the doc I sent to my users about capturing data from a canned
Vantage report. I'm on 6.0 so your working folder may be different.

Capturing Report Data to a File

<?xml:namespace prefix = o ns = "urn:schemas-microsoft-com:office:office"
/>

Run the Vantage report you want to capture data from in Print Preview.

With the report on your screen in Print Preview,

Right Click on Start.

Select Explore. Select C:\epicor\mfgwk60 folder in the left pane. This is
the Vantage working folder.





Click on the Modified header in the right pane. The text file sitting at the
top is your report in print preview.

Double click on it and it will open in Notepad. Do a file Save As to your
desktop or folder of choice. This text file is nicely formatted for opening
in Excel.

As soon as you close the print preview the original file is deleted in the
working folder.

instead of merely customising the "shrink-wrapped" reports.

It would be easier to tell you if my copy had turned up! - I asked if V9
could save to 8.5, and got no response, bought the upgrade 'cos its cheaper,
when you already have V7 & V8, and then found you need a down grade to get
to 8.5 which is only available by snail-mail. I have been waiting nearly 3
weeks, and I am getting a little hacked off!

It would have been easier to have paid the extra and bought the full version
of 8.5 again.

The moral of this tale is when Crystal offer you a cheap upgrade, buy it,
that way you are always ahead of Epicor and save $$$$ in so doing.

Crystal decisions currently has a promotion running until 12/15/03 where if
you purchase Crystal 9.0 you get a free 5 user copy of Crystal Enterprise
free of charge <http://www.crystaldecisions.com/x-jump/cr9_03/default.asp>
http://www.crystaldecisions.com/x-jump/cr9_03/default.asp. Mostly likely due
to that fact that Crystal reports 10.0 is coming out first quarter 2004. I
run Crystal 8.0, with 8.5 sitting on the shelf. I will most likely take
advantage of the promotion once I have a better understanding of what
Crystal Enterprise is. (anyone?) I am concerned about the on going cost of
ownership with this free? offer.

Sounds like a good deal if you keep up on upgrades... unfortunately we are
not in a financial position to keep up. We are just getting ready to go
from Vantage 4 to Vantage 6 after the first of the year and I need to keep
the costs to a minimum. We need to get rid of our NT Server in the
process..... So it isn't going to be too cheap!

I am way behind on versions (we're on 3.0) and I don't yet utilize Crystal
for anything but modifications to existing Vantage forms, but I was told to
always buy the Professional Version. Others should be better able to let
you know why you might need that vs the Standard Version.

I don't think it makes much difference, unless you want to get clever,
instead of merely customising the "shrink-wrapped" reports.

It would be easier to tell you if my copy had turned up! - I asked if V9
could save to 8.5, and got no response, bought the upgrade 'cos its
cheaper,
when you already have V7 & V8, and then found you need a down grade to get
to 8.5 which is only available by snail-mail. I have been waiting nearly
3
weeks, and I am getting a little hacked off!

It would have been easier to have paid the extra and bought the full
version
of 8.5 again.

The moral of this tale is when Crystal offer you a cheap upgrade, buy it,
that way you are always ahead of Epicor and save $$$$ in so doing.

Hi there, do any of you use the projects portion of Vantage? I am on
5.10.135 but we are going to 6.0 next month.

I specifically have questions on the budget and job/po linking. If the
sales order has been added to the project and the job is linked to the
sales order, do you have to manually add the job to the project or does
it come over automatically. Same thing with the po if it is liked to a
job, will it come over also?

RE the budgets, we have about 15 part numbers which will be about 20
sales orders which will ship over the next five years. Do we enter the
entire budget for all the part numbers for the whole five years? If so,
will the actual % just be based on the shipped to date and hopefully
stay under the total 5 yr budget? :-) like an ongoing tracking which
would tell you that if you were at say, 60% of your budget in the first
2 years, you are going to blow it really bad. Anyway that's how I think
it works.

Wow, you are at genius level if this makes sense. Sorry for the
convoluted logic.

In Progress I had a report filtered - part description begins with
'accumulator*'.
I am trying to create this report in Crystal (actually all reports in
crystal as preparation for the loss of progress) and you can't sort or
filter on a memo field which is what part description is.

Does anyone have any suggestions for a workaround? I considered a vb
field with the word accumulator but I would hate to have to go back and
type in all the entries.

orders, jobs, and pos together to track costs. I noticed the other day that
you can set up budgets, but have not played with that yet.

We use them for all our jobs. Many times the project has only one job
others have numerous jobs. The primary reason we started this was the
visability of Quoted vs Estimated vs Actual hours/costs and Sales dollars on
one screen. Without running a report I don't any other way to get this type
of "snapshot" of a job/project. Also, the data is realtime. If an employee
reported labor to a job 1 second before you opened the screen the
labor/burden costs will be included. The project summary may be the
most-used screen in Vantage for us.

We use projects extensively but have recently discovered a problem with
material cost information. We break many of our assemblies for a job into
separate jobs, i.e. job A has job B and job C as a material requirement. If
jobs A, B and C are in a project the material costs look OK until you
transfer material costs from B to A or C to A using receipts from
manufacturing. The material cost gets counted twice in the project tracker.
We are on 5.20.315. Tech support has duplicated the problem on 6.10.

Lorne,
One job might have 10 subassemblies, each having 100 hours engineering time
or more. Our QA procedures require a complete job router be on the floor
when working on parts. If we have just one engineer on the job he can
release individual assemblies to the floor as soon as they are engineered.
Our average job has a quantity of one and runs 6 months to a year.
